Overview: <p>The Automobile Club of Southern California is seeking customer service-oriented individuals for our&nbsp;<strong>Administrative Assistant II</strong>&nbsp;position in&nbsp;<strong>Costa Mesa</strong>.</p> <p>An Administrative Assistant II, performs complex administrative duties and coordinates various projects. Handling inbound/outbound calls, call escalations, reception functions, ordering supplies, process payments and working with vendors amongst other related tasks. In addition, the position supports Emergency Roadside Service contractors with training activities and multiple Contract Station Instructors housed across Club markets.&nbsp;</p>
Responsibilities: <p>Further responsibilities include:</p> <p>&middot; Organizing Affinity Program incentives, campaigns, tow shows, and contractor recognition events across all Club markets.</p> <p>&middot; Coordinating special assignments and other daily and monthly activities as required.</p> <p>&middot; Participation with the assigned department budget, accruals, monthly forecasts, and reconciliation.</p> <p>&middot; Prepare invoices for payment, initiate and process requisitions. As well as serve as the department&rsquo;s budget, annual base, and variable pay liaison.</p> <p>&middot; Assist management with staff related activities including, maintaining employee files, processing new hires/status changes, attendance, and vacation reconciliation.</p> <p>&middot; Compile and compute statistical data, develop, prepare and submit special reports and presentation materials as required.</p> <p>&middot; Respond to and resolve employee, contractor, and management inquires either by telephone, email or in person.</p> <p>&middot; Arrange and submit requests to IS and Telecommunications regarding transfers, new, or terminating employees.</p> <p>&middot; Oversee maintenance of all department files, ensuring compliance with corporate record retention guidelines.</p> <p>&middot; Arrange on and off-site events, as well as schedule conference rooms and catering preparations.</p>
Requirements: <p><strong>Qualifications</strong></p> <p><strong>Successful candidates possess the following qualifications:</strong></p> <p>Excellent coaching and interpersonal skills as well as superior communications abilities (both oral and written). Strong customer service orientation is essential. Exceptional organizational, time management, and multitasking skills provides success. Ability to meet, delegate, and oversee project deadlines. Proficiency in Microsoft Office software products including, Office Suite, Outlook, Word, and Excel is required.</p> <p>Relevant work experience: 2-3 years&rsquo; experience with Project Coordinator is desirable.</p> <p>High School Diploma or equivalent required. Bachelor&rsquo;s Degree preferred.
