Overview: <br />The primary focus of this position is to perform initial file and serve activities and to respond to subpoenas in California. This includes, but is not limited to, creating notes in the system, researching, analyzing, and processing incoming legal documents, organizing and maintaining files and records, making independent judgement calls to appropriately serve various documents on opposing counsel. This position requires you to perform tasks with minimal supervision.<br /><br /> <p><strong>WORKING CONDITIONS:</strong></p> <p>Work is performed remotely with no unusual hazards.</p>
Responsibilities: <br /> <ul> <li>Responsible for the initial filing and serving of various documents on opposing counsel within required time frame.</li> <li>Responsible for responding to Service of Documents Order by serving specific requested documents to an external party (i.e. Lien claimant)</li> <li>Process and analyze claim/legal documents using independent judgment to appropriately serve documents to outside parties.</li> <li>Responds to subpoenas accurately and in a timely manner.</li> <li>Responsible for drafting responses to subpoenas and determining which documents are appropriate to serve. &nbsp;</li> <li>Logging into EAMS (Electronic Adjudication Management System) within the DWC CA website to pull applications or related documents to the file.&nbsp;</li> <li>Assist in searching claims using the DWC search function, retrieving and analyzing information from the website.</li> <li>Monitor work duties to ensure assignments are completed in a timely manner with a high degree of quality and report results to management.&nbsp;&nbsp;</li> <li>Establish and maintain effective working relationships with all internal and external customers.</li> <li>Maintain diary of scheduled activities and follow up items on a timely basis.</li> <li>Act as a mentor for new employees, providing assistance when necessary, additional training, and support. Review procedures for efficiency and backlogs.&nbsp;</li> <li>Performs other legal tasks, as jurisdictionally permitted.</li> <li>Operates with substantial latitude for action and/or decision.</li> </ul>
Requirements: <br /> <p><strong>EDUCATION OR EQUIVALENT EXPERIENCE:</strong></p> <ul> <li>High school diploma or GED required.&nbsp;</li> <li>College coursework in English, Mathematics, Business Administration, or Administrative Management OR the equivalent in relevant course work and experience is required.&nbsp;&nbsp;</li> <li>Continuous learning required, as defined by AF Group&rsquo;s learning philosophy.</li> <li>Certification or progress toward insurance certification is highly preferred and encouraged.</li> </ul> <br /> <p><strong>EXPERIENCE:</strong></p> <ul> <li>2 years of experience in a California workers&rsquo; compensation claims environment (i.e. applying relevant workers' compensation laws, regulations, guidelines, and/or policies) is required.</li> <li>Previous experience with legal and medical terminology preferred.</li> <li>Experience working with scanned images/document management system preferred.</li> <li>Experience with state/legal documents is preferred.</li> </ul> <br /> <p><strong>SKILLS/KNOWLEDGE/ABILITIES (SKA) REQUIRED:</strong></p> <ul> <li>Ability to effectively multitask and complete work within specified timeframes with a high level of accuracy is critical to being successful in this position.</li> <li>Ability to adapt to changing volumes in workflow in order to still meet deadlines and goals is essential.</li> <li>Strong typing and accurate data entry skills are required.</li> <li>Effective oral and written communication skills are essential.</li> <li>Excellent customer service and organizational skills are essential.</li> <li>Effective problem solving and attention to detail skills are essential.</li> <li>Ability to work effectively independently and as a team is essential.</li> <li>Ability to effectively use Microsoft Office Suite, including word processing and spreadsheet applications and basic office equipment such as fax machines, copiers, and telephone systems.</li> </ul>
