Overview: <p>Primarily responsible for performance audits to ensure quality is consistent with departmental expectations. Train new employees on initial job responsibilities and department expectations. Provide additional on the job training as required. Subject matter expert in the duties pertaining to Records Management &amp; Mail Services staff. Contacts include all levels of the enterprise, and various external contacts and vendors.</p>
Responsibilities: <ul> <li>Orients new employees to the department and departmental procedures.</li> <li>Completes performance audits and reports results to supervision.</li> <li>Reviews audits of employees' work within the unit to assist the Lead Workers and management with coaching/mentoring,</li> <li>Partner with management and Lead Workers to identify training needs based on quality assessment results. Support development and delivery of training as necessary/assigned.</li> <li>Provides individual and group training for the Records Management and Mail Services staff.</li> <li>Maintains department procedures, work instructions, and job aides; may participate in initiating new workflows or workflow changes with area leadership.</li> <li>Designs, develops and delivers training plans, materials and evaluations to ensure all departmental staff members operate with a high degree of quality.</li> <li>Resolve quality and training related problems and acts as liaison between Records Management &amp; Mail Services staff and other departmental personnel.</li> <li>Works with storage vendor and internal tracking system to open and close files as necessary.</li> <li>Collaborates with department's Lead Workers and management to determine processes and workflows requiring additional training and auditing.</li> <li>Trouble shoots potential process and/or system problems and provides feedback to the management team and other members of Records Management and Mail Services staff. Serves&nbsp;as back-up support for mailroom as needed..</li> <li>Must be able to perform the core duties of all records &amp; mail services staff members when necessary or requested by supervision.</li> </ul> <div id="gtx-trans" style="position: absolute; left: -54px; top: 26px;">&nbsp;</div>
Requirements: <p><strong>EDUCATION REQUIRED:</strong></p> <p>Associate degree in insurance and/or a related field. Combinations of education and experience may be considered in lieu of formal education.</p> <div><strong>EXPERIENCE REQUIRED:</strong></div> <div>Two (2) years experience with AF Group in Records Management and Mail Services with experience&nbsp;as an Inserter Operator, Administrative Services Support II, or Senior Document Specialist; or equivalent Enterprise experience that provides the necessary skills, knowledge and abilities.</div> <div>&nbsp;</div> <div><strong>Additional Experience for the Training and Quality Specialist II:</strong>Three (3) years experience with AF Group in Records Management and Mail Services with at least one (1) year as a Training &amp; Quality Specialist I; or equivalent Enterprise experience that provides the necessary skills, knowledge and abilities.</div> <div>&nbsp;</div> <div><strong>SKILLS/KNOWLEDGE/ABILITIES (SKA) REQUIRED:</strong></div> <ul> <li>Thorough knowledge of insurance documents/records.</li> <li>Knowledge of electronic databases including media files and formats.</li> <li>Ability to file alphabetically and numerically.</li> <li>Highly proficient in identifying all mail documents.</li> <li>Basic knowledge of computers, word processing and spreadsheet software with ability to enter alpha/numeric data accurately.</li> <li>Demonstrated knowledge of internal workflows.</li> <li>Ability to train and coach others to perform core responsibilities.</li> <li>Ability to objectively review the work of others.</li> <li>Excellent written and oral communication skills.</li> <li>Highly proficient with the use of the internal and/or on-line fax systems.</li> <li>Ability to work effectively in a multi-functional, multi state business unit.</li> <li>Ability to communicate properly and provide clear direction to staff members and other departmental contacts.</li> <li>Ability to lift or move overhead objects weighing up to 35 lb or more.</li> <li>Excellent organizational skills and ability to prioritize work.</li> <li>Thorough understanding of Records Management and Mailroom operations.</li> <li>Ability to comprehend consequences of various situations and to make appropriate individuals aware of these to facilitate decision making.</li> <li>Ability to manage multiple priorities and meet established deadlines while maintaining proper relations between managers, multi-functional business units, and customers.</li> <li>Thorough knowledge of computer applications including database software.</li> <li>Basic math skills.</li> <li>Ability to use a 10-key pad.</li> <li>Ability to proofread documents for accuracy of spelling, grammar, punctuation, and format.</li> <li>Ability to meet established deadlines.</li> </ul> <p><strong>Additional Skills/Knowledge/Abilities required for Training and Quality Specialist II:</strong></p> <ul> <li>Demonstrated knowledge of Inserter Operator processes and functions.</li> <li>Demonstrated knowledge of Document Specialist processes and functions</li> <li>Demonstrated knowledge of Administrative Services Support processes and functions</li> </ul> <div><strong>ADDITIONAL EDUCATION, EXPERIENCE, SKILLS, KNOWLEDGE, AND/OR ABILITIES PREFERRED:</strong></div> <ul> <li>Some experience monitoring the work of others is preferred.</li> <li>Bachelor's degree in business, insurance, or related field.</li> <li>Progress towards or successful completion of the CAWC program.</li> <li>Insurance Institute of America (IIA) or other insurance-related coursework.</li> </ul>
