Responsibilities: <p dir="ltr"><strong>Our new Executive Assistant will:</strong></p> <ul> <li>Manage calendars. Primarily booking and prioritizing appointments and meetings, resolving calendar conflicts and negotiating rescheduling on a frequent basis. These are two individuals constantly on the go - real-time, analytical responses are needed to ensure their days flow.</li> <li>Transform short conversations and scribbled notes into carefully written emails and elegantly designed presentations. You love getting communication exactly right, have an ear for good writing and an eye for effective design.</li> <li>Coordinate logistics. Arrange complex and detailed travel plans and itineraries. Organize sensitive meetings with internal and external stakeholders. Be available outside regular business hours to cancel, rebook and confirm changes to the timing of events or the overall agenda.</li> <li>Support the day-to-day business. Assist with expense reports and administrative and coordination tasks. Manage ad-hoc projects involving research of events, client contacts, etc.</li> </ul> <p>&nbsp;</p>
Requirements: <p dir="ltr"><strong>Our new Executive Assistant has:</strong></p> <ul> <li>The education and experience. A post-secondary degree or diploma combined with co-op placements/internships, in a fast-paced, demanding role where you learned how to think on your feet, take direction and pay attention. Or, 3+ years in a role supporting an executive.</li> <li>The flexibility. To do whatever needs to be done and respond to requests outside of normal business hours. Proven ability to effectively prioritize many conflicting demands.</li> <li>The independence. Proactively on your own or collaboratively as part of a global team anticipate and fulfill all business needs with a high degree of integrity, honesty and ethics.</li> <li>The technical skills. Expertise in MS Office and common cloud-based productivity services particularly Outlook, Excel, PowerPoint. Experience with visual design and Adobe Creative Suite is an asset</li> <li>Outstanding communication and interpersonal skills.</li> <li>The personality. Curious, energetic and driven to perform effectively in a demanding high-growth, fast paced environment.
