Responsibilities: <p><strong>Our new Administrative Assistant will:</strong></p> <ul> <li style="font-weight: 400;"><span style="font-weight: 400;">Coordinate travel. Arrange complex and detailed travel plans, itineraries and compile documents for travel-related meetings. Be available outside regular business hours to cancel, rebook and confirm changes to the timing of events or the overall agenda.</span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">Calendar management. Primarily booking and prioritizing appointments and meetings. Resolving calendar conflicts and negotiating rescheduling on a frequent basis.</span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">Support the day-to-day business. Confidentially assist the Executive Vice President with administrative, research, sales, projects and coordination tasks. This can include preparing sales documents and presentations, collecting marketing collateral, packaging and shipping materials.</span></li> </ul> <ul> <li style="font-weight: 400;"><span style="font-weight: 400;">Provide a bridge for efficient communication between the Executive Vice President&rsquo;s office, with both internal and external stakeholders. &nbsp;Oversee executive communication:</span></li> <ul> <li style="font-weight: 400;"><span style="font-weight: 400;">preparing and/or editing letters, memos and mass emails</span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">prioritizing and processing email, mail, calls, issues and requests, while determining the appropriate course of action, referral or response</span></li> </ul> <li style="font-weight: 400;"><span style="font-weight: 400;">Prepare and submit expense reports. With a high attention to detail and accuracy, review, organize and submit extensive domestic and foreign expenses for reimbursement.</span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">Update licensing. </span><span style="font-weight: 400;">Coordinate and submit renewals for relevant licenses held by the executive.</span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">Plan events. Coordinate and oversee events such as client receptions and off-site events.</span></li> </ul>
Requirements: <p><strong>Our new Administrative Assistant has:</strong></p> <ul> <li style="font-weight: 400;"><span style="font-weight: 400;">The education. A post-secondary degree or diploma.</span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">The experience. 3+ &nbsp;years of experience in an administrative role supporting a team or executive.</span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">The flexibility. To do whatever needs to be done and respond to requests outside of normal business hours. Proven ability to effectively prioritize many conflicting demands.</span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">The independence. Proactively on your own or collaboratively as part of a global team anticipate and fulfill all business needs &nbsp;with a high degree of integrity, honesty and ethics. </span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">The technical skills. Expertise in MS Office particularly Outlook, Excel, PowerPoint.</span></li> <li style="font-weight: 400;"><span style="font-weight: 400;">Outstanding communication and interpersonal skills.
