Reporting to the Director of Finance, the Office Manager will be responsible for organizing all of the administrative activities that facilitate the smooth running of the office, from making sure that office equipment is maintained to ensuring that the Company is compliant with all Health & Safety regulations.

Responsibilities: <p><strong>Here&rsquo;s what you will do:</strong></p> <ul> <li>Overall appearance of the office: <ul> <li>Assist with layout and space for in-house staff</li> <li>Sort and process incoming and outgoing courier packages and mail</li> <li>Clean and restock the kitchen and coffee stations</li> <li>Liaise with property management to maintain the condition of the office and arrange for necessary repairs</li> </ul> </li> <li>Meeting rooms. You will be responsible for: <ul> <li>Supporting staff with the booking system</li> <li>Basic technical set up</li> <li>Arranging documentation and &nbsp;seating</li> <li>Ordering and providing supplies and catering</li> <li>Cleaning up and returning the rooms to a pristine state</li> </ul> </li> <li>Enforce health and safety compliance. You will work with external consultants to: <ul> <li>update our policies,</li> <li>implement all recommendations on a timely basis</li> <li>enforce the regulations</li> <li>arrange regular testing for electrical equipment, safety devices and other Health &amp; Safety compliance requirements</li> </ul> </li> <li>Office equipment and supplies. You will be in charge of all of the vendors, the supply inventory ( printer ink, paper, pens and &nbsp;all manner of office supplies.), the equipment maintenance and related invoices.</li> <li>Support HR. You will provide organization, data entry, filing and other administrative support to the HR department.</li> <li>Manage policies and systems. You will manage filing systems and proactively develop or assist with the implementation of new administrative systems. You will actively implement and promote the equality and diversity policy.</li> <li>Staffing and support. You will ensure adequate staff levels to cover for absences and peaks in workload and you will assist with administrative duties across other back-office departments. You will assist the Sales and Marketing team with packaging, shipping and other coordination tasks for trade shows.</li> </ul>
Requirements: <p><strong>So, how do we know you are the next Office Manager? You have:</strong></p> <ul> <li>Experience as a coordinator, receptionist, executive assistant, or administration assistant.</li> <li>Technical skills including MS Office and Outlook.</li> <li>Outstanding relationship building and communication skills.</li> <li>Excellent office administration, organizational, time management and coordination skills.</li> <li>Professional drive and self-motivation.</li> <li>Flexibility, adaptability and strong multi-tasking abilities.</li> <li>The confidence and the maturity to make decisions, prioritize and independently problem solve.</li> <li>A genuine desire to help.</li> <li>A familiarity with legislation in the areas of employment, equality and diversity and data protection would be useful.</li> </ul>
