Responsibilities: <p dir="ltr"><strong>Our new Executive Assistant will:</strong></p> <ul> <li>Support the daily business of the unit. Confidentially assist the Business Unit President with administrative, research and coordination tasks.</li> <li>Manage the executive calendar: <ul> <li>Organizing monthly executive and departmental meetings.</li> <li>Preparing agendas, minutes and meeting documents.</li> <li>Prioritizing appointments and requests.</li> <li>Resolving calendar conflicts and negotiating rescheduling as necessary.</li> <li>Booking appointments and meetings.</li> <li>Reserving meeting rooms or lunches.</li> </ul> </li> <li>Coordinate travel. Arrange complex and detailed travel plans, itineraries and compile documents for travel-related meetings and social events including working lunches and networking dinners.</li> <li>Provide a bridge for smooth communication between the Business Unit President&rsquo;s office, with both internal and external stakeholders.</li> <li>Oversee executive communication: <ul> <li>Preparing and/or editing letters, memos and mass emails.</li> <li>Prioritizing incoming mail, calls, issues and requests, while determining the appropriate course of action, referral or response.</li> <li>Processing emails.</li> <li>Responding to communications directly or indirectly.</li> <li>Creating, formatting and editing documents and personal letters.</li> <li>Designing advanced PowerPoint presentations using modern, up-to-date techniques and graphics.</li> </ul> </li> <li>Prepare and submit expense reports.</li> <li>Plan events. Coordinate and oversee events such as Client Reception and Business Unit off-site events.</li> </ul>
Requirements: <p dir="ltr"><strong>Our new Executive Assistant has:</strong></p> <ul> <li>The education and experience. A post-secondary degree or diploma combined with co-op placements/internships, in a fast-paced, demanding role where you learned how to think on your feet, take direction and pay attention. Direct experience in a senior administrative or Executive Assistant role supporting higher-level partners.</li> <li>The soft skills. Good judgement, initiative, relationship building and proactive.</li> <li>The technical skills. Expertise in MS Office particularly Outlook, Excel, PowerPoint and Visio. Publisher would be a nice-to-have bonus.</li> <li>The balance. High-attention to detail and a strong sense of urgency with all requests, inquiries and assigned tasks.</li> <li>Superior organizational skills. Proven ability to effectively prioritize many conflicting demands and assignments.</li> <li>Outstanding communication and interpersonal skills. From telephone to email. From presentations to letters. From one-on-one to large groups.</li> <li>The administration skills. Familiarity with General Office Equipment and typical office and administrative practices (phone system, photocopying, faxing, video conferencing, scanning, etc.); superior keyboarding, editing and proofreading skills.</li> <li>The personality. The drive and sense of ownership to perform effectively in a demanding high-growth, fast paced environment.
