Overview: This position is responsible for performing all order coordinating tasks for New Equipment Sales Personnel. The process begins with review of the sales file and is considered complete when the Sales Coordinator&rsquo;s review of the affected general ledger accounts ensures that all entries have been accurately posted.&nbsp; This position interacts closely with Operations and Corporate teams.
Responsibilities: <ul> <li>Reviews sales files for required documents.</li> <li>Distributes order acknowledgements to affected company personnel.</li> <li>Opens installation work orders and distributes to affected company personnel.</li> <li>Arranges transportation for Raymond equipment from factory warehouse to final destinations.</li> <li>Reviews factory order acknowledgments for correct pricing, ITA credit, and other information.</li> <li>Submits orders to Raymond factory via Oracle Customer Relationship Manager (CRM).</li> <li>Generates and submits purchase orders to vendors in a timely manner.</li> <li>Creates customer orders in company ERP system (Irium).</li> <li>Creates, updates, and reviews order workbooks in Microsoft Excel to ensure accuracy.</li> <li>Generates and submits invoices to customers within 72 hours of equipment delivery.</li> <li>Maintains financial information in Access database.</li> <li>Processes vendor invoices and forwards to Accounts Payable per pre-established time lines.</li> <li>Reviews general ledger inventory accounts after final invoicing to customer has been completed.</li> <li>Contributes to the maintenance of all Sales Coordination ancillary spreadsheets.</li> <li>Responds to both external and internal customer and vendor requests.</li> <li>Assists in the development and attainment of Sales Coordination Goals and Strategies.</li> <li>Performs related duties as assigned or as the situation dictates.</li> </ul>
Requirements: <p><strong>Required Knowledge, Skills, and Abilities</strong>:</p> <ul> <li>Knowledge of inventory transactions posted to general ledger accounts.</li> <li>Knowledge of Microsoft Office applications with proficiency in Access and</li> <li>Skilled in time-management and ability to work independently.</li> <li>Skilled in both written and verbal communication.</li> <li>Ability to simultaneously coordinate shipments with technician, freight carriers, and customer schedules.</li> <li>Ability to exercise sound judgment to determine if files/documents require management review.</li> <li>Ability to organize, multi-task, prioritize and plan work accordingly.</li> </ul> <p>&nbsp;<strong>Education and Experience</strong><strong>: &nbsp;</strong></p> <ul> <li>Requires a minimum of an Associate&rsquo;s degree in Business or related field, plus one or more years of experience in a business related environment.&nbsp;</li> <li>Two or more years of customer service experience in a customer-facing position required.</li> </ul>
