Overview: The Executive Assistant to three senior executives, the CFO, CTO, and CHRO is responsible for diverse administrative and project management duties and functions requiring confidentiality, discretion, initiative, and sound decision-making.<br /><br />The position requires excellent organizational skills and the ability to effectively handle multiple projects. The ideal candidate will be able to think independently and anticipate, rather than merely respond to, the needs of the executive.<br /><br />This includes project management, maximizing the effective operation of their executive&rsquo;s office with respect to workflow, scheduling, budget, communications, and events.<br /><br />We are seeking a well-organized, detail-oriented, proactive, resourceful, and efficient individual who can anticipate needs and work cooperatively with all levels of staff and external stakeholders.<br /><br /><br /> <p><strong>About BDA<br /></strong><br />BDA brings the world&rsquo;s biggest brands to life through promotional merchandise. Responsibilities: <ul> <li>Serve as a trusted advisor handling special projects and ad hoc incoming requests as they arise.</li> <li>Develop internal and executive communications, including executive presentations/decks and messaging guidance, tailoring content and concepts based on audience.</li> <li>Coordinate department and all executive&rsquo;s meetings.</li> <li>Manage heavy calendars, interacting internally and externally to coordinate a variety of executive meetings. Attend meetings and manage follow up accordingly.</li> <li>Serve as a liaison to their executives, establishing and maintaining relationships while ensuring confidentiality of sensitive and proprietary information.</li> <li>Create prep documents and minutes for meetings.</li> <li>Coordinate travel.</li> <li>Write key letters and other correspondence.</li> <li>Maintain executive&rsquo;s files, departmental NPS/CRM scorecards.</li> <li>Other duties and special projects as assigned.</li> </ul>
Requirements: <ul> <li>Experience working for a CFO completing analysis and financial projects.</li> <li>Experience in M&amp;A, with Board presentations, legal and insurance work preferred</li> <li>Expert proficiency with MS Office including excel and PowerPoint.</li> <li>Excellent organization, communication and writing skills.</li> <li>Exceptional editing and proofreading skills.</li> <li>Ability to multi-task and balance competing priorities from multiple constituents and executives. &nbsp;</li> </ul>
