Overview: The Office Manager is responsible for providing general administrative support and program development support for the Babson Academy for the Advancement of Global Entrepreneurial Learning.
Responsibilities: <ul> <li>Handles follow-up to routine and/or complex mail/email correspondence; screens calls, takes detailed messages, strives to resolve matters independently.</li> <li>Composes correspondence, documentation, reports, and proposals; runs prospect/pipeline reports; and generates thank you letters and other material for individual signature.</li> <li>Designs filing systems and is responsible for overseeing maintenance of filing systems.</li> <li>Assists with the finances including p-card reallocation, check requests, bill payments, and financial record keeping (payroll, AP etc.).</li> <li>In collaboration with the Associate Dean, assists in providing financial data to help facilitate college budget forecasting.</li> <li>Manages accounts payable for The Babson Academy including vendor invoices, travel expense reports, and faculty/staff reimbursements and p-card re-allocation.</li> <li>Processes all Babson Academy faculty payroll via Workday. Maintains confidentiality and sensitivity to payroll information.</li> <li>Responsible for timely billing and collection of payments for clients.</li> <li>Serves as the primary support person for the staff of the Babson Academy, which includes centrally supporting all external and internal office and administrative functions for departments, overseeing office Outlook calendars, arranging meetings for Babson Academy staff, answering incoming queries via phone, and maintaining positive working relationships across the College.</li> <li>Sets up travel arrangements for department staff.</li> <li>Acts as office manager for the Babson Academy which includes developing operating practices such as record keeping systems, forms control, office layout, creating new systems and/or revising established procedures; processing purchase orders; purchasing general and specific office supplies as well as printed materials for the office; and managing functionality and updates to phone, printer, and copy systems.</li> <li>Serves as liaison with Human Resources for hire, compensation, and termination paperwork for student workers; maintains relevant files and keeps abreast of campus best practices.</li> <li>Manages internal digital equipment maintenance and check-out process.</li> <li>Provides administrative support to the Dean including but not limited to: calendar management, scheduling meetings and travel arrangements, and preparing correspondence.</li> <li>Serves as the first point of contact, acts as a liaison, and builds and maintains professional relationships both internally and externally on behalf of the Dean. Ensures timely and accurate assistance in all matters.</li> <li>Assumes additional responsibilities as required.</li> </ul> <br />Supervises:<br />Student Workers
Requirements: <br />Minimum Level of Education Required High School Diploma<br /><br />Position Knowledge/Skills &amp; Abilities Requirements:<br /> <ul> <li>At least 2-3 years of office/event management experience</li> <li>Must have excellent organizational and communication skills</li> <li>Must have computer proficiency (Microsoft Outlook, Word, Excel, and Web Editing)</li> <li>Must be detail-oriented and have the ability to multi-task in a very fast-paced environment</li> <li>Ability to effectively interface with visitors, faculty, and staff</li> <li>Must have effective time management skills and the ability to set priorities</li> <li>Must have strong customer service skills</li> <li>Ability to envision and propose new methods to perform tasks that support ET&amp;A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.</li> <li>Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.</li> <li>Must be flexible and willing to assume new tasks</li> </ul> <br />Additional Experience, Skills, &amp; Abilities:<br /> <ul> <li>Associate&rsquo;s Degree strongly preferred</li> <li>Ability to communicate effectively to non-native speakers of English and relate well to individuals from diverse cultural, social, and educational backgrounds</li> </ul>
