Overview: <br />The Administrative Coordinator is responsible for the daily administrative and operational support of all Blank Center programs, as well as providing extensive support to the Executive Director of the AMBCE. The portfolio of programs at the Blank Center include the Babson College Entrepreneurial Research Conference (BCERC), the Butler Launch Pad Program (BLP), all of the signature Blank Center entrepreneurship events (Rocket Pitch, B.E.T.A. Challenge, Summer Venture Program), Global Entrepreneurship Week, the Global Entrepreneurship Monitor (GEM) and coming soon, the Butler Lab for Free Enterprise Through Entrepreneurship.<br />
Responsibilities: <br /> <ul> <li>With direction from Program Leaders, support the delivery of multiple ongoing events and projects including Butler Launch Pad programming, Rocket Pitch, B.E.T.A. Challenge, Summer Venture Program, Global Entrepreneurship Week, workshops and consulting office hours. This support includes all operational activities such as application processes, room reservations, catering needs, photography/videotaping, security, and contracted vendors.</li> <li>Provide comprehensive and extensive support to Blank Center Executive Director for all Center activities including travel arrangements, calendar maintenance, arranging internal and external meetings, communicating with AMBCE staff, coordinating staff meetings, managing logistics for global visitors, producing correspondence and reports for the Director, proof reading and editing copy generated by the Director and others, and note taking in meetings as requested.</li> <li>Assist with monitoring monthly AMBCE account reports; monitor and execute distribution of seed funding; assist with sponsorships, contracts and memberships; and coordinate check requests, budget amendments, and journal entries through Workday.</li> <li>Act as key point of contact and project manager for all AMBCE facilities management including renovations, IT support, specific office requirements, telephone billing, aesthetic maintenance and improvements, room reservations and other projects as needed.</li> <li>Responsible for planning and arranging logistics for meetings and special events.</li> <li>Serve as the point of contact for students, alumni, and additional visitors to the Blank Center for meetings, entrepreneurial events, and programs.</li> <li>Handle routine and complex correspondence, interaction, and inquiries to the Blank Center.</li> <li>Responsible for special projects and initiatives as assigned by the AMBCE Director.</li> <li>Support travel arrangements for other AMBCE staff as requested.</li> <li>Assumes additional responsibilities as required.</li> </ul>
Requirements: <br /> <p><strong>WHAT EDUCATION AND SKILLS YOU WILL NEED<br /><br /></strong></p> <ul> <li>Associate degree.</li> <li>A minimum of 2-3 years of similar experience.</li> <li>Must have excellent organizational and communication skills.</li> <li>Strong computer skills including proficiency in Microsoft Outlook, Word, Excel, Google docs, and the ability to learn Workday.</li> <li>Must be detail-oriented and have the ability to multi-task in a very fast-paced environment.</li> <li>Must have the ability to effectively interface with trustees, students, faculty, staff, and visitors.</li> <li>Ability to envision and propose new methods to perform tasks that support ET&amp;A; takes thoughtful risks; and accepts new and ongoing initiatives, objectives, and solutions to gain sought-after results.</li> <li>Ability to anticipate and embrace change; demonstrates willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.</li> <li>Ability to be flexible and willing to assume new tasks.<br />&nbsp;</li> </ul> <p><strong>HOW AND WHERE YOU WILL WORK<br /><br /></strong></p> <ul> <li>May require occasional late evening/weekend work.</li> <li>All Babson College faculty and staff authorized to work on campus must be fully vaccinated against COVID-19, <a href="" target="_blank" rel="noopener noreferrer">including any appropriate boosters</a>.
