Overview: The Administrative Coordinator provides high-level administrative support to the Offices of Multicultural &amp; Identity Programs and Religious &amp; Spiritual Life. Specifically responsible for acting as the first point of reception in Religious &amp; Spiritual Life, while supporting the administration, programs, and initiatives of both offices.
Responsibilities: <p><strong><em>General:<br /><br /></em></strong></p> <ul> <li>Responsible for office management including fielding and routing all incoming phone calls, placing office supply orders, and managing phones, printers, and copy systems.</li> <li>Monitor and help maintain budgets which includes submitting expense reports and invoices through proper channels; maintaining and reconciling budgets for departmental accounts; processing financial payments; and procuring materials for workshops and activities.</li> <li>Ensure all offices comply with Babson College policies and procedures.</li> <li>Assist in updating and maintaining departmental websites and Hub content.</li> <li>Assume additional responsibilities as requested and reviewed by Director of Multicultural &amp; Identity Programs and/or Director, Religious &amp; Spiritual Life.</li> </ul> <p>&nbsp;</p> <p><strong><em>Office of Multicultural &amp; Identity Programs:<br /><br /></em></strong></p> <ul> <li>Assist the Director with calendar management, including scheduling of office hours; provide logistical support and documentation for regular team meetings and office programming.</li> <li>Provide programmatic support and setup for major community events (i.e., welcome receptions and senior send-offs).</li> <li>Assist the Director with communication to key student populations around programs and events.</li> <li>Assist with the management and maintenance of the Diversity suite, including maintaining department calendar and EMS scheduling requests through EMS.</li> <li>Provide administrative support in managing office data and reporting.</li> </ul> <p>&nbsp;</p> <p><strong><em>Office of Religious &amp; Spiritual Life:<br /><br /></em></strong></p> <ul> <li>Assist Director with the management and maintenance of Glavin Chapel and office suite (i.e., EMS reservations and approvals, restocking supplies, and policy and guidelines).&nbsp;</li> <li>Responsible for logistics and food orders for weekly programs, special events, materials, and other items as needed.</li> <li>Provide programmatic support for campus wide events and manage various social media platforms.&nbsp;</li> <li>Assist Director with maintaining and updating databases and spreadsheets for departmental budgets, programs, and usage of the Glavin Chapel.</li> </ul>
Requirements: <p><strong>WHAT EDUCATION AND SKILLS YOU WILL NEED<br /><br /></strong></p> <ul> <li><strong>Associate degree.</strong></li> <li><strong>At least 3-5 years of related experience in an office or other similar environment.</strong></li> <li>Ability and willingness to <strong>work directly with a diverse student population</strong> across every dimension of diversity, both primary and secondary.</li> <li>Ability to <strong>work independently</strong> and as a team, anticipate needs, act with sound judgment and maintain strict confidentiality in all aspects of work.</li> <li>Ability to <strong>prioritize and coordinate multiple tasks</strong> with frequent interruptions while meeting strict deadlines.</li> <li>Must have excellent grammar, composition, and proofreading skills as well as exceptional verbal and interpersonal skills.</li> <li>Must have <strong>excellent oral and written communication skills.</strong></li> <li>Ability to effectively interface with all constituents.</li> <li>Must have a basic knowledge of current trends in student diversity and inclusion, particularly in regard to higher education.</li> <li><strong>Strong organizational and interpersonal skills, and must be able to maintain a high degree of confidentiality at all times.</strong></li> <li>Must have strong organizational skills and project management skills with the ability to appropriately prioritize tasks and adjust to changing priorities.</li> <li>Must have <strong>strong computer skills including proficiency in Google Drive/Docs and Microsoft Office (Word, Excel, PowerPoint, Outlook/Calendar).</strong></li> <li>Ability to envision and propose new methods to perform tasks that support ET&amp;A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.</li> <li>Ability to <strong>anticipate</strong> and <strong>embrace</strong> <strong>change</strong>; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.</li> </ul> <p>&nbsp;</p> <p>&nbsp;</p> <p><strong>ADDITIONAL SKILLS YOU MAY HAVE</strong></p> <ul> <li>Bachelor&rsquo;s Degree preferred.</li> </ul>
