Overview: Blue Cross Blue Shield of Michigan is currently seeking an administrative assistant for the VP of Human Performance in the Detroit facility. This individual will provide executive administrative support services to the Human Performance leaders where exercising discretion and maintaining confidentiality in handling work objectives is essential. This position will also ensure effective coordination of various objectives among other administrative support personnel within the department.
Responsibilities: <p><strong>Required Departmental Duties and Responsibilities:</strong></p> <ul> <li>Schedule meetings and manage leaders&rsquo; calendar.</li> <li>Submit various requests in BCBSM systems - PeopleSoft ePro/sPro Requisitions, PeopleSoft Expense Reporting, Service Catalog - support requests and Information Technology Requests, Resource Scheduler - room reservations and catering requests.</li> <li>Managing the departmental use of a p-card and reconciling purchases on a monthly basis.</li> <li>Utilize Excel to maintain a log of team expenditures versus budget.</li> <li>Exceptional organizational skills to prioritize multiple assignments.</li> <li>Very good analytical, interpersonal, written and verbal communication skills to effectively communicate with all levels of personnel.</li> <li>Assist department with troubleshooting/ issue resolution and complete special assignments and reports as needed</li> <li>Coordinate and monitor leased employee requests and renewals; assist with on-boarding / off-boarding new team members (e.g., creating/monitoring job reqs, coordinating interviews, and coordinating provisioning of laptops).</li> <li>Responsible for compiling monthly team summaries.</li> </ul> <p><strong>Required Corporate Duties and Responsibilities:</strong></p> <ul> <li>Performs advanced, diversified and confidential secretarial and administrative duties while working within general established guidelines, using judgment and discretion.</li> <li>Prepares correspondence, memoranda, reports, etc.</li> <li>Initiates routine and some non-routine correspondence and memoranda.&nbsp;</li> <li>Screens telephone calls and visitors and resolves routine and some complex inquiries.&nbsp;</li> <li>Schedules appointments, meetings and travel itineraries and coordinates related arrangements. May prepare and distribute minutes of meetings.</li> <li>May facilitate corporate programs within assigned departments.&nbsp;</li> <li>Other duties may be assigned.</li> </ul>
Requirements: <ul> <li>High School Graduate or GED equivalent required.</li> <li>Three (3) years of secretarial or related experience required.</li> <li>Typing speed of 45 w.p.m. required.</li> <li>Proficient in the use of PC applications, i.e., PowerPoint, Excel and Word.</li> <li>Proficiency in business English.</li> <li>Must pass secretarial testing process.</li> <li>Other related skills and/or abilities may be required to perform this job.</li> </ul>
