Overview: Responsible for providing administrative and technical support to assigned department(s).
Responsibilities: <ul> <li>Support divisional projects to include preparing materials, collecting data, performing analysis, conferring with stakeholders, tracking progress, and disseminating results.</li> <li>Perform general administrative duties to include ordering supplies, travel arrangements, expense reports, and preparing and tracking annual budgets and vendor contracts.</li> <li>Research problems in assigned area, evaluate possible corrective actions and recommend a solution for implementation.</li> <li>Compile and analyze data to produce routine and non-routine reports, presentations, letters, communications and graphics.</li> <li>Create and maintain divisional intranet and SharePoint sites to include department sites and sites created to support corporate initiatives; instruct others on how to access and update SharePoint materials.</li> <li>Support corporate-wide and divisional meetings and corporate trainings.</li> <li>Provide technical support to internal and external stakeholders by answering questions, supplying information, training and other technical support to include developing presentation slides and room set-up.</li> </ul> <p><strong><u>Administrative Coordinator Duties</u></strong></p> <ul> <li>Ordering systems access and completing audits.</li> <li>Maintaining systems profiles.</li> <li>Medical record request for Ascension and Bronson.</li> <li>Department meeting planning and arranging.</li> <li>Tracker activity reports.</li> <li>Unit leader inquiry tracking process and reporting.</li> <li>Development of GAL leadership reports.</li> <li>Coordinate open enrollment schedules and materials.</li> <li>Supplies/equipment/bereavement orders.</li> <li>Equipment audits/ PC Chargebacks.</li> <li>Regular review of accuracy and current information on the SharePoint site.</li> <li>Attend all team and department meetings and capture minutes.</li> <li>Schedule quarterly servicing touchpoints and create agendas.</li> <li>Workgroup monthly report.</li> <li>Assist GALS with open enrollment coverage.</li> <li>Assist GALS with resolving inquiries when requested.</li> <li>Ad-hoc assignments.</li> <li>Other duties as assigned.</li> </ul>
Requirements: <ul> <li>High school diploma or GED is required. Two (2) years of college is preferred.&nbsp;</li> <li>One (1) year of related experience is required.</li> <li>Previous experience with creating and maintaining SharePoint sites is preferred.</li> <li>Proficient interpersonal skills including the ability to interact with internal and external customers and all levels of the organization.</li> <li>Proficient organization skills with the ability to handle multiple project and timelines.</li> <li>Proficient verbal and written communication skills including the ability to develop outlines, prepare reports and compose business communications from outlines and notes.</li> <li>Ability to make decisions within scope of responsibility where operational guidelines or procedures are non-existent.</li> <li>Proficient in Microsoft Office Suites.</li> </ul>
