Overview: <p><span style="font-family: Arial; font-size: small;">Responsible for providing administrative and technical support to assigned department(s). This position will support the URMBT Account.<br /></span></p> <p><span style="font-size: small;"><strong><u>DEPARTMENT PREFERENCES</u></strong><br /></span></p> <ul> <li><span style="font-size: small;">Experience scheduling meetings in Outlook</span></li> <li><span style="font-size: small;">Experience working with members and/or customers</span></li> </ul> <p><span style="font-family: Arial; font-size: small;">&nbsp;</span></p>
Responsibilities: <ul> <li><span style="font-size: small;">Support divisional projects to include preparing materials, collecting data, performing analysis, conferring with stakeholders, tracking progress, and disseminating results.</span></li> <li><span style="font-size: small;">Perform general administrative duties to include ordering supplies, travel arrangements, expense reports, and preparing and tracking annual budgets and vendor contracts.</span></li> <li><span style="font-size: small;">Research problems in assigned area, evaluate possible corrective actions and recommend a solution for implementation.</span></li> <li><span style="font-size: small;">Compile and analyze data to produce routine and non-routine reports, presentations, letters, communications and graphics.</span></li> <li><span style="font-size: small;">Create and maintain divisional intranet and SharePoint sites to include department sites and sites created to support corporate initiatives; instruct others on how to access and update SharePoint materials.</span></li> <li><span style="font-size: small;">Support corporate-wide and divisional meetings and corporate trainings.</span></li> <li><span style="font-size: small;">Provide technical support to internal and external stakeholders by answering questions, supplying information, training and other technical support to include developing presentation slides and room set-up.</span></li> <li><span style="font-size: small;">Receive and review emails from the group&rsquo;s scheduling system (Ungerbock) and maintain and update our internal calendar.</span></li> <li><span style="font-size: small;">Using our internal calendar and outlook, schedule account representatives (internal and contractors) to attend the various retiree meetings around the country.</span></li> <li><span style="font-size: small;">Coordinate the shipping of retiree meeting materials to the various meeting locations, homes or hotels, or to the account representatives located outside of Michigan.&nbsp;&nbsp;</span></li> <li><span style="font-size: small;">Compile meeting materials as requested by the account representatives for taking to local retiree meetings.</span></li> <li><span style="font-size: small;">Receive and distribute member related inquiries from the representatives in the field when necessary for further follow up. Maintain a tracking log of these inquiries and provide responses back to the account representatives.</span></li> <li><span style="font-size: small;">Maintain stock room inventory of member meeting materials, giveaway items and quarterly messaging. Order, refresh, restock, recycle materials as needed.</span></li> <li><span style="font-size: small;">Disseminate pertinent information via email to account representatives in the field as necessary.&nbsp;</span></li> <li><span style="font-size: small;">Reporting on meetings/ information shared/ ad hoc reporting/ quarterly meeting topics and reports.&nbsp;</span></li> </ul>
Requirements: <div id="requisitionDescriptionInterface.ID1574.row1" class="inlinepanel" title=""><span style="text-decoration: underline;"><strong><span class="subtitle">Qualifications</span></strong></span></div> <ul> <li><span style="font-size: small;">High school diploma or GED is required. Two (2) years of college is preferred.&nbsp;</span></li> <li><span style="font-size: small;">One (1) year of related experience is required.</span></li> <li><span style="font-size: small;">Previous experience with creating and maintaining SharePoint sites is preferred.</span></li> <li><span style="font-size: small;">Proficient interpersonal skills including the ability to interact with internal and external customers and all levels of the organization.</span></li> <li><span style="font-size: small;">Proficient organization skills with the ability to handle multiple project and timelines.</span></li> <li><span style="font-size: small;">Proficient verbal and written communication skills including the ability to develop outlines, prepare reports and compose business communications from outlines and notes.</span></li> <li><span style="font-size: small;">Ability to make decisions within scope of responsibility where operational guidelines or procedures are non-existent.</span></li> <li><span style="font-size: small;">Proficient in Microsoft Office Suites.</span></li> </ul> <p>&nbsp;</p> <p><span style="font-family: Arial; font-size: small;"><em>All qualified applicants will receive consideration for employment without regard to, among other grounds, race, color, religion, sex, national origin, sexual orientation, age, gender identity, protected veteran status or status as an individual with a disability.</em></span></p>
