Responsibilities: <ul> <li><span style="font-family: arial;">Schedule appointments and meetings (includes WebEx meetings), maintain calendar and assure all required information is prepared for scheduled appointments and meetings.&nbsp; <br /></span></li> <li><span style="font-family: arial;">Prepare, type, edit, and proofread general correspondence including memos, letters, Excel spreadsheets, e-mails, corporate forms, and presentations, etc.&nbsp;&nbsp;<br /></span></li> <li><span style="font-family: arial;">Provides&nbsp;comprehensive support for meeting preparation and attendance including preparing meeting agendas and distribution, ordering food and supplies, taking meeting minutes, arranging schedules, reserving conference rooms and equipment, setting up equipment, and coordinating travel arrangements. <br /></span></li> <li><span style="font-family: arial;">Handles documents requiring director approval. <br /></span></li> <li><span style="font-family: arial;">Copies, faxes, mails, distributes department documents and materials, and orders office supplies.&nbsp; <br /></span></li> <li><span style="font-family: arial;">Maintains a departmental office supply inventory.&nbsp; <br /></span></li> <li><span style="font-family: arial;">Coordinate machine repairs. Assist in the preparation of annual administrative budgets.&nbsp; <br /></span></li> <li><span style="font-family: arial;">Tracks and monitors expenses throughout the year. <br /></span></li> <li><span style="font-family: arial;">Tracks equipment in department including changes, upgrades, etc. <br /></span></li> <li><span style="font-family: arial;">Other duties as assigned.</span></li> </ul>
Requirements: <p><strong><em><span style="font-size: small;">MUST PASS ADMINISTRATIVE SUPPORT ASSESSMENT</span></em></strong></p> <ul> <li><span style="font-family: arial; font-size: small;">High school diploma or GED certificate required.</span></li> <li><span style="font-family: arial; font-size: small;">Secretarial or business courses preferred.</span></li> <li><span style="font-family: arial; font-size: small;">Associates degree preferred.</span></li> <li><span style="font-family: arial; font-size: small;">Two (2)&nbsp;years of experience in administrative/secretarial capability required.</span></li> <li><span style="font-family: arial; font-size: small;">Excellent verbal and written communication &amp; grammar skills including the ability to develop outlines, prepare reports, and compose business letters from outlines and notes required.</span></li> <li><span style="font-family: arial; font-size: small;">Excellent telephone etiquette required.</span></li> <li><span style="font-family: arial; font-size: small;">Typing speed of 45 wpm with 95% accuracy required.&nbsp; Verified via testing.</span></li> <li><span style="font-family: arial; font-size: small;">Intermediate knowledge of Microsoft Word, Excel, and PowerPoint required.&nbsp; Verified via testing.</span></li> <li><span style="font-size: small;">Knowledge of Access and Vizio preferred.</span></li> <li><span style="font-family: arial; font-size: small;">Excellent interpersonal skills including the ability to interact with internal and external customers and all levels of the organization required.</span></li> <li><span style="font-family: arial; font-size: small;">Excellent organizational skills with the ability to handle multiple projects and timelines required.&nbsp;</span></li> <li><span style="font-family: arial; font-size: small;">Ability to type correspondence in an accurate manner required.</span></li> <li><span style="font-family: arial; font-size: small;">Proven ability to handle and maintain confidential information required.</span></li> <li><span style="font-family: arial; font-size: small;">Possess qualities of integrity, sound judgment, and initiative required.</span></li> <li><span style="font-size: small;">Ot<span style="font-family: arial;">her duties as assigned.</span></span></li> </ul>
