Competitive Total Compensation Package

Overview: <strong><span style="font-size: small;">The administrative assistant will be support four directors and their teams. Will be responsible for calendar management, arranging and prepping for meetings, travel arrangements, expense reports, handling of phone calls, and other administrative tasks.</span></strong>
Responsibilities: <ul> <li>Exercise discretion and maintain confidentiality in handling work objectives.</li> <li>Schedule appointments and meetings, maintain calendars and assure all required information is prepared for scheduled appointments and meetings.</li> <li>Prepare, edit and proofread general correspondence including memos, letters, spreadsheets, e-mails, corporate forms, presentations, etc.</li> <li>Provide comprehensive support for meeting preparation and attendance including agenda preparation and distribution, meeting minutes, equipment set up, travel arrangements, etc.</li> <li>Assist department staff with special projects, presentation development, preparation and monitoring of budget, office supply inventory, etc.</li> <li>Screen telephone calls and may resolve routine inquiries.</li> <li>Track equipment and coordinate repairs including changes and upgrades.</li> <li>Other duties may be assigned.</li> </ul>
Requirements: <p><strong><span style="font-size: small;">EDUCATION AND/OR EXPERIENCE</span></strong></p> <ul> <li><span style="font-size: small;">High School Graduate or GED equivalent required.</span></li> <li><span style="font-size: small;">Two (2) years of secretarial or related experience required.</span></li> </ul> <p><strong><span style="font-size: small;">OTHER SKILLS AND ABILITIES</span></strong></p> <ul> <li><span style="font-size: small;">Typing speed of 45 w.p.m. required.</span></li> <li><span style="font-size: small;">Proficient in the use of PC applications, i.e., Excel and Word and several types of office equipment.</span></li> <li><span style="font-size: small;">Good verbal and written communication skills required.</span></li> <li><span style="font-size: small;">Proficiency in business English.</span></li> <li><span style="font-size: small;">Must pass secretarial testing process.</span></li> <li><span style="font-size: small;">Other related skills and/or abilities may be required to perform this job.</span></li> </ul> <p><span style="font-size: small;"><strong><u>DEPARTMENT REQUIREMENTS AND PREFERENCES</u></strong></span></p> <ul> <li><span style="font-size: small;">Demonstrated experience supporting senior management with administrative duties</span></li> <li><span style="font-size: small;">Proficient in all Microsoft applications &ndash; Outlook, Word, Excel, PowerPoint</span></li> <li><span style="font-size: small;">Experience with or highly motivated to learn SharePoint</span></li> <li><span style="font-size: small;">Experience with creating and maintaining worksheets and charts</span></li> <li><span style="font-size: small;">Proficient at using all BCBSM online tools &ndash; Ariba, Expense Reporting, MP2, etc.</span></li> <li><span style="font-size: small;">Familiar with BCBSM business areas highly preferred&nbsp;</span></li> <li><span style="font-size: small;">Health care experience highly preferred</span></li> <li><span style="font-size: small;">Interest in learning new skills and content</span></li> </ul>
