Overview: This position is responsible for supporting the Individual Business Unit (IBU) by providing compliance and operational support to leaders and key stakeholders in IBU. Additionally, this position is responsible to analyze, manage and oversee adherence to multiple corporate requirements with a strong focus on compliance, procurement and business continuity.<br /> <br />In addition to these responsibilities, this position will consult with business stakeholders and other subject matter experts to identify continuous improvements within operational and compliance processes, assess risks, and recommend solutions that support business goals.
Responsibilities: <strong>Procurement Administration Support</strong><br /> <ul> <li>Serve as the liaison between IBU and Procurement by handling the administration of procurement activities including creating/amending requisitions, monitoring and tracking invoices, monitoring PO balances, overseeing accruals, etc.</li> <li>Provide guidance to individual employees regarding procurement needs, managing requisitions/invoicing and purchase order activity</li> <li>Ensure procurement activities follow established corporate requirements and established compliance processes</li> <li>Interact with Corporate Procurement for subject matter expertise, execution, guidance, continuous improvement, and/or issue resolution</li> <li>Produce the quarterly Procurement Dashboard report</li> </ul> <strong>Business Continuity</strong><br /> <ul> <li>Serve as the business continuity builder for Tier 1 business unit</li> <li>Facilitate bi-annual reviews and updates to the business continuity plan (BCP) by interacting with key IBU leaders to capture their contingency plans and document within the Fusion system</li> <li>Facilitate other required business continuity exercise, e.g. semi-annual plan approvals, call tree exercise, BIA, etc.</li> <li>Record exercise results and complete survey questions in Fusion to document completion of required exercises</li> <li>Assist with the annual tabletop testing exercise for the department by coordinating key stakeholders, planning exercise scenario, leading the simulation, documenting results and next steps</li> </ul> <strong>Operational &amp; Compliance Support</strong><br /> <ul> <li>Facilitate operational campaigns utilizing the SalesForce CRM Marketing Cloud to meet operational/compliance goals</li> <li>Monitor, track and report on completion statuses for the department&rsquo;s corporate compliance training goals utilizing ComplianceWire software</li> <li>Facilitate the annual policy &amp; procedure update initiative and ensure the department&rsquo;s policies are reviewed and updated annually</li> <li>Gather and analyze metrics for compliance dashboard reporting</li> <li>Other duties may be assigned.</li> </ul> Leadership responsibility to coordinate the development and implementation of programs and strategies to improve service to our customers.Develop and improve work flows and business processes within area(s) to improve customer service,decrease operational costs and improve overall quality.<br /> <ul> <li>Identify and/or analyze business problems and devise procedures for solutions to the problems.</li> <li>Effectively lead projects/teams in order to produce desired results.</li> <li>Responsible for corporate communication of project results.</li> <li>Recommend and assist with implementing standard policies and procedures for providing routine service.</li> <li>Assure that corporate compliance is communicated, implemented and monitored on an ongoing basis.</li> <li>Participate in systems testing, develop procedures/controls and provide recommendations for the ongoing improvement of the updated process.</li> <li>Assist personnel (both internal and external) by answering questions, supplying information and training.</li> <li>Develop and maintain an effective working relationship with customers.</li> <li>Other duties may be assigned.</li> </ul>
Requirements: <ul> <li>Bachelor's Degree in related field preferred.</li> <li>Four (4) to seven (7) years experience in related field.</li> <li>Supervisory and/or Analyst experience required with proven experience in operational analysis, data analysis, and problem resolution type activities.</li> <li>Ability to plan, organize, direct and control projects.</li> <li>Excellent written and verbal communication skills.</li> <li>Ability to lead and contribute to process improvement projects.</li> <li>Working knowledge of PC applications and/or mainframe required.</li> <li>Other related skills and/or abilities may be required to perform this job.</li> </ul> <strong>DEPARTMENT REQUIREMENTS</strong><br /> <ul> <li>Bachelor's Degree in related field highly preferred.</li> <li>Four (4) years in related health care field which may include experience in healthcare policy, compliance and/or audit and procurement/vendor administration.</li> <li>Knowledge of corporate systems including, Fusion (Business Continuity), PeopleSoft sPro and ePro systems.</li> <li>Excellent analytical, organizational, interpersonal, problem solving, written and verbal communication skills, as well as the ability to apply concepts to practical situations.</li> <li>Ability to work independently with minimal supervision, within a team environment and handle multiple assignments.</li> <li>Proficient in current industry standard PC applications and systems (e.g. Word, Excel, PowerPoint and Outlook).</li> </ul> All qualified applicants will receive consideration for employment without regard to, among other grounds, race, color, religion, sex, national origin, sexual orientation, age, gender identity, protected veteran status or status as an individual with a disability.
