Overview: <p><em><strong>This position supports multiple directors and managers.</strong></em>&nbsp;</p> <p><strong>Provide administrative support services exercising discretion and maintaining confidentiality in handling work objectives.</strong></p>
Responsibilities: <p>Schedule appointments and meetings, maintain calendars and assure all required information is prepared for scheduled appointments and meetings. Prepare, edit and proofread general correspondence including memos, letters, spreadsheets, e-mails, corporate forms, presentations, etc. Provide comprehensive support for meeting preparation and attendance including agenda preparation and distribution, meeting minutes, equipment set up, travel arrangements, etc. Assist department staff with special projects, presentation development, preparation and monitoring of budget, office supply inventory, etc. Screen telephone calls and may resolve routine inquiries. Track equipment and coordinate repairs including changes and upgrades.</p>
Requirements: <h2>Qualifications</h2> <p><em><strong>MUST PASS ADMINISTRATIVE SELECTION PROCESS</strong></em></p> <ul> <li>High School Graduate or GED equivalent required.</li> <li>Two (2) years of secretarial or related experience required.</li> <li>Typing speed of 45 w.p.m. required.</li> <li>Proficient in the use of current industry PC applications, i.e., Microsoft Suite:&nbsp; Outlook, Word, Excel, PowerPoint and several types of office equipment.</li> <li>Good verbal and written communication skills required.</li> <li>Proficiency in business English.</li> <li>Other related skills and/or abilities may be required to perform this job.</li> </ul> <p><strong>DEPARTMENT REQUIREMENTS:</strong></p> <ul> <li>Associates degree highly preferred with secretarial or business courses.</li> <li>Must have ability to think strategically and have keen ability to anticipate needs of the Director(s) and Manager(s).</li> <li>Ability to multi-task and have ability to prioritize assignments and manage tasks.</li> <li>Provides complete support for meeting preparation (includes clean-up after meetings) and attendance including preparing and distributing meeting agendas, ordering food and supplies, taking meeting minutes, arranging schedules, reserving conference rooms and equipment, setting up equipment, and coordinating travel arrangements.</li> <li>Demonstrated project coordination experience.</li> <li>Tracks and monitors expenses throughout the year.</li> <li>Excellent telephone etiquette required.</li> <li>Excellent interpersonal skills necessary to interact with internal and external customers, and all levels of the organization required.</li> <li>Excellent organizational skills with the ability to handle multiple projects and timelines required.</li> <li>Ability to work with minimal supervision.</li> <li>Must have professional appearance in conservative office business environment.</li> <li>Ability to interface with internal and external&nbsp;providers and community engagement at events as a representative of BBCSM as required.</li> </ul>
