Responsibilities: <p><strong>How you will make a difference:</strong></p> <ul> <li>Support the daily operations of the department. Confidently assist team managers with administrative, research and coordination tasks. From booking meetings to processing expenses. From coordinating travel to arranging an urgent courier.</li> <li>Organize meetings. Prepare agendas, minutes and meeting documents. Reserve meeting rooms and lunches.</li> <li>Oversee communication. Manage and facilitate communication within the department, across departments and externally. This includes email, letters, memos, incoming mail, calls, issues and requests. Determine the appropriate course of action, referral or response and address directly where appropriate.</li> <li>Plan events. Coordinate and oversee events such as holiday parties, staff gatherings and employee training sessions. Provide end-to-end support from booking the room to catering; from procuring technical equipment and support to liaising with organizers, facilitators and participants.</li> <li>Maintain overall appearance of the department. This includes everything from sorting and processing incoming and outgoing courier packages and old-school mail, to taking inventory and ordering office supplies and coordinating housekeeping and maintenance.</li> </ul>
Requirements: <p><strong>What you bring:</strong></p> <ul> <li>Hands-on experience. Several years in an administrative role supporting a large department.</li> <li>Soft skills. Good judgement, initiative and high attention to detail.</li> <li>Technical skills. Expertise in Google Tools. Ability to quickly learn SAP, our HR system and our internal CBC systems.</li> <li>Balance. A strong sense of urgency with all requests, inquiries and assigned tasks.</li> <li>Superior organizational skills. Proven ability to prioritize many conflicting demands and proactively reach out for new assignments.</li> <li>Outstanding communication and interpersonal skills. From telephone to email. From presentations to letters. From one-on-one to large groups.</li> <li>Administration skills. Familiarity with general office equipment and typical office and administrative practices (phone system, photocopying, video conferencing, scanning, etc.); superior keyboarding, editing and proofreading skills.</li> <li>Personality. The drive and sense of ownership to perform even the most minute task effectively. Adaptability to thrive in a demanding high-growth, fast paced environment.</li> <li>A strong sense of collaboration. You thrive in a team-focused environment and have excellent relationship building skills.
