Overview: The Accounting/Payroll Specialist processes payroll, tracks employee benefits, maintains employee records and files, prepares and tracks invoices and statements for customer payment as accounts receivable, and verifies amounts due and provides payments to vendors in accounts payable, and completes varied intermediate-level accounting, payroll and administrative work involving substantial &nbsp;independent judgment and requiring accuracy and speed.
Responsibilities: <p><u>Accounts Payable</u></p> <ul> <li>Review invoices thoroughly to ensure billings are in accordance with contracts, purchase orders, work orders and packing slips; ensure prior balances are accurate and all invoices are paid timely.</li> <li>Process checks, attach checks to invoice with all back up and submit for various required signatures</li> <li>Obtain W-9 for new vendors</li> <li>Set up new accounts as necessary</li> <li>Prepare reports</li> <li>Maintain filing of all invoices</li> </ul> <p>&nbsp;<u>Accounts Receivable</u></p> <ul> <li>Prepare invoices and statements for payment by customers.</li> <li>Track payments</li> <li>Prepare reports</li> <li>Make bank deposits when necessary</li> </ul> <p>&nbsp;<u>Payroll</u></p> <ul> <li>Gather information on hours worked for each employee</li> <li>Calculate the correct amount incorporating overtime, deductions, etc. with assistance of automated systems</li> <li>Receive approval from management for payments when needed</li> <li>Track benefits, payments due and paid time off</li> <li>Process adjustments and providing manual checks as necessary</li> <li>Process payroll through a third-party service</li> <li>Respond to employee pay inquiries</li> <li>Prepare reports</li> <li>Process and maintains W-4 tax data and changes in personal data.</li> </ul> <p>&nbsp;<u>Employee Records Review and Maintenance</u></p> <ul> <li>Maintain compliant employee records and files</li> <li>Track personnel actions and supports managers in employee relation matters</li> <li>Recommend or participate in the development of new procedures and policies related to payroll operations utilizing knowledge of state and federal policies and regulations</li> <li>Maintain confidential employee compensation records</li> </ul> <p>&nbsp;<u>Administrative</u></p> <ul> <li>Assist in preparation of monthly financial package</li> <li>Assist in preparation of annual budgets</li> <li>Assist in Board &amp; Board Meeting Support</li> <li>Assist with preparation for the annual audit and workers compensation audit.</li> <li>Perform a variety of general office support duties such as copying, word processing and filing.</li> <li>Perform other related duties as assigned.</li> </ul>
Requirements: <p><strong>Skills and Minimum Qualifications:</strong></p> <ul> <li>Demonstrated understanding of accounting concepts, internal controls and reconciliation process.</li> <li>Familiarity with human resource policies and procedures.</li> <li>Working knowledge of standard payroll concepts, practices and procedures</li> <li>Ability to accurately prepare, maintain and reconcile various accounting, payroll and HR records</li> </ul> <ul> <li>Use of initiative and sound independent judgment within established procedural guidelines</li> <li>Ability to work independently and collaboratively in a fast-paced environment, prioritize multiple projects, and seek supervisory assistance as appropriate.</li> <li>Proven effective verbal and written communication skills.</li> <li>Ability to work cooperatively with others and maintain effective work relationships with all those contacted in the course of performing required duties</li> <li>Punctual and reliable</li> <li>Bilingual in Spanish preferred</li> </ul> <p><strong>Training and Experience:</strong></p> <p>Any combination of training and experience that provides the required skills and minimum qualifications.&nbsp; Typically:</p> <ul> <li>High school education equivalent and three to four years of increasingly responsible accounting assistant, bookkeeping, payroll, or accounting experience performing a wide range of complex clerical activities including using accounting or payroll software.</li> </ul> <ul> <li>&nbsp;(Preferred):&nbsp; High school education equivalent and college coursework in bookkeeping or basic accounting <u>and</u> two years of experience in payroll processing, accounting or related field.</li> </ul> <p><strong>&nbsp;</strong><strong>Minimum Computer Proficiency Skills:</strong></p> <ul> <li>Microsoft Office, Microsoft Windows, Accounting Software</li> <li>Data Entry Speed Minimum: 50 WPM</li> <li>10-key &ndash; By Touch</li> </ul> <p>Central Coast Energy Services reserves the right to verify skill proficiency through testing on any of the above referenced categories and any other skills and knowledge required by the position applied for.</p> <p>&nbsp;<strong>License Requirement:</strong></p> <ul> <li>Possession of a California driver&rsquo;s license; vehicle insurance, and a good driving record. <strong>You will be required to bring a copy of your DMV record if you are invited for an interview.</strong></li> </ul>
