Overview: To provide planning, direction and management oversight of all box office functions for the Van Wezel Performing Arts Hall (VWPAH). Prepares daily sales reports and other essential reports regarding the box office.
Responsibilities: &bull; Oversees the operations of the Box Office and the hiring and training of all box office staff.<br />&bull; Manages the Assistant Box Office Manager, who has responsibility for hands on managing of staff and daily box office sales reports.<br />&bull; Works with artists and/or agents on purchasing and/or processing of tickets, complimentary ticket requests and providing daily sales reports as requested by the companies, Executive Director, and Marketing Director.<br />&bull; Builds performances in the ticketing system.<br />&bull; Has full knowledge of computerized ticketing system and the ability to adapt to new systems.<br />&bull; Works with VWPAH's marketing division in the preparation of order forms, ticket selling procedures, marketing reports, surveys, and all other ticketing related issues.<br />&bull; Oversees collection of data such as email addresses, local and northern addresses, and various phone numbers.<br />&bull; Oversees ticketing for all Educational functions and works with the Education Department to ensure smooth operations of Schooltime shows, Total Access, etc.<br />&bull; Handles complicated accounting/bookkeeping functions; makes corrections or determines the severity of financial situations; corrects and determines reasons for out of balances.<br />&bull; Resolves a wide variety of problems during events as well as on a daily basis and maintains a customer service focus with patrons and other staff.<br />&bull; Works effectively with VW Foundation staff associated with ticketing and any other interaction with VW Foundation personnel and/or members.<br />&bull; Works with Front of House personnel during events in lobby areas as well as in the auditorium associated with seating issues, ADA concerns, customer service, Friday Fest, etc. to resolve issues in a timely and effective manner.<br />&bull; Works with renters to process pre-printed tickets for performances onsite and offsite events.<br />&bull; Works with VW Foundation to provide tickets and support as outlined in the City/Foundation agreement.<br />&bull; As assigned, represents the VWPAH, to civic groups, service clubs and other local, regional and national organizations, at various public forums, and elsewhere as required in activities to promote continuing support of VWPAH programs and events.<br />&bull; The intent of this class description is to provide a representative summary of the types of duties and responsibilities that will be required of classifications given this title and shall not be construed as a declaration of the specific duties and responsibilities of any particular position. Requirements: <div><strong>Minimum Qualifications:<br /></strong><br />&bull; Graduation from an accredited high school or equivalent. A degree from an accredited college or university is preferred.<br />&bull; Five (5) years of progressively responsible professional experience in theatrical box office operations with two (2) to three (3) years of supervisory experience in box office operations or theatrical operations; or the equivalent in education, training, and experience that would provide the necessary knowledge, skills and abilities.</div> <div><br /><strong>Job Based Competencies:</strong><br /><br /> <div>&bull; Knowledge of the principles and practices of modern theatrical management and their application to public non-profit performing arts centers.<br />&bull; Knowledge of available automated methods, including computer applications, for facilitating efficient and economical management of theater operations.<br />&bull; Skill in organizing and managing functions and activities relating to managing a box office.<br />&bull; Skill and expertise in patron relations and similar dealings with artists, their agents and representatives, contractors, prominent public and private individuals and others.<br />&bull; Ability to plan, assign, direct, coordinate, review, and evaluate the work of subordinate staff engaged in the various professional, technical and administrative functions.<br />&bull; Ability to anticipate and deal effectively with the wide variety of problems and issues typically arising in the management of the box office of a performing arts hall.<br />&bull; Ability to communicate effectively, both orally and in writing.<br />&bull; Ability to establish and maintain cooperative and effective working relationships with the Van Wezel Advisory Committee, VWPAH staff, professional associations, business organizations, performers, musicians, producers, agents, the media, civic and community groups and other members of the public.<br />&bull; Knowledge of Excel, Word, Outlook and other similar computer programs.<br />&bull; Ability to work changing and irregular shifts, nights, weekends and holidays.</div> </div>
