Overview: <p>The Operations Support Specialist provides administrative support to the Retail Sales team. This position will provide administration and support for deposit account maintenance, digital banking channels, debit cards and ancillary products. The Specialist supports the branch and member contact center team as needed.&nbsp; Each Specialist will be assigned core duties and will act as backup to the other.&nbsp;</p> <p>&nbsp;All Retail Sales staff must fully understand credit union products and services, and be able to assist members to use these products and services.&nbsp; The Specialist is expected to demonstrate assigned core competencies and meet assigned goals.&nbsp;</p>
Responsibilities: <p><em>Account Processing </em></p> <ul> <li>Process all new account applications received via online channel.</li> <li>Provide personal follow-up with new members to obtain required documentation and identifies cross-sell opportunities.</li> </ul> <ul> <li>Utilize identity verification processes to verify individuals opening accounts online.</li> <li>Process loan applications received through the online channel; provides completed application to the Lending Department. Addresses member questions and look for cross sell opportunities.</li> </ul> <ul> <li>Provide administrative support for closing member accounts, account maintenance, Power of Attorney, IRAs, and Trust/Estate Accounts.</li> <li>Complete assigned workflows such as deceased notifications, beneficiary distributions, etc.</li> <li>Manage the Digital Banking Message Inbox by ensuring requests are processed. &nbsp;</li> <li>Member resource for members and assist with the resolution of member questions regarding digital banking service and all related products.&nbsp;</li> </ul> <p>&nbsp;<em>Operational Processes</em></p> <ul> <li>Administer the following operational processes:</li> <ul> <li>Branch Cash Levels</li> <li>Branch Audits - Performs branch audits at each COFCU branch annually and on an as-needed basis.&nbsp; Delivers audit findings timely to management according to an established schedule.</li> </ul> <li>File, monitor, and finalize all claims submitted for credit life/disability, debt protection, guaranteed asset protection, and mechanical repair coverage; communicate with members during the claims process.</li> <li>Develop and maintain Branch and Operations procedures.&nbsp; Ensure that management is informed immediately of any violations of policies and procedures.</li> <li>Collaborate with HR/Training on training activities for the Retail Sales staff.</li> <li>Process incoming and outgoing mail.&nbsp; Provide reception support for the Main office.</li> </ul> <p>&nbsp;</p> <p><em>Reporting</em></p> <ul> <li>Track retail sales activities and prepare monthly incentive reports.</li> <li>Prepare monthly reporting for retail operations.</li> </ul> <ul> <li>Assist in the balancing of IRA and ancillary product General Ledgers.</li> </ul> <p>&nbsp;<em>Member Support</em></p> <ul> <li>Support Branch and Member Call Center staff in problem resolution related to member inquires.</li> <li>Perform financial, file maintenance transactions required to make necessary corrections or requested services on member accounts, and communicate results and resolutions to members.</li> <li>Troubleshoot for members with questions regarding all COFCU and third-party electronic products<strong>.</strong></li> <li>Research of bill payment transactions.&nbsp; Communicates directly with members to resolve problems and concerns.</li> </ul> <p>&nbsp;<em>Systems</em></p> <ul> <li>Maintain knowledge of various systems utilized in the course of performing duties.&nbsp; These include the COFCU&rsquo;s core system, ancillary products system, online banking systems, debit and credit systems, etc.</li> <li>Provide primary testing support to system conversions and updates.</li> </ul> <p>&nbsp;Perform other duties as assigned.</p>
Requirements: <p><strong><em>Education and Experience&nbsp; </em></strong></p> <ul> <li>At least three years of financial and/or branch operations experience.</li> <li>Associates degree, preferred.</li> <li>Knowledge of Credit Union products and services, policies, procedures, and guidelines, preferred.</li> </ul> <p>&nbsp;<strong><em>Knowledge</em></strong></p> <ul> <li>Financial institution products and services including branch operations, IRA requirements/regulations, digital banking services.</li> <li>Good knowledge of sales techniques.</li> </ul> <p><strong>&nbsp;</strong><strong><em>Skills &amp; Abilities</em></strong></p> <ul> <li>Good verbal and written communication skills.</li> <li>Accurate data entry skills.</li> <li>Strong interpersonal skills.</li> <li>Excellent organizational skills; demonstrating attention to detail and ability to meet deadlines.</li> <li>Proficient with Microsoft Office software, banking platforms, and standard office equipment.</li> </ul> <p>&nbsp;</p>
