Reporting to the Finance Manager, we are adding a Finance Assistant to our team. You will support the department to ensure financial statements, accounting, bookkeeping, payroll, and audit requests are met accordingly. You will take ownership of archiving all contracts, files, quotations, and bills. You will support the Finance Manager in developing forecasts and financial plans on a monthly and yearly basis.

To date, we have supported more than 900 youth, and prevented over 470 mental health crises and visits to hospital emergency rooms, saving nearly $300,000 in health care costs. At the Friends of Ruby's drop-in space, LGBTQI2S youth (16-29 years old) find meals, activities, support groups, and community. Responsibilities: <p><strong>How you will make a difference as our new Finance Assistant:</strong></p> <ul> <li><em>Assist the Finance Manager.</em> You will help prepare budgets and forecasts to maintain compliance with guidelines. You will support the management of accounting, bookkeeping, and bi-weekly payroll functions. You will ensure bank requests, letters of directions, and deposits are correct. You will support the Finance Manager in identifying and explaining any variances to the monthly forecast and assist in preparing and delivering reports to Board Finance Committee.</li> <li><em>Manage reconciliations and transactions.</em> You will lead the month-end process by working closely with the accounting firm to ensure actual results are supported and captured correctly. You will manage the month-end closing process. You will ensure appropriate back-up documentation is attached and relevant approval processes are followed at all times. You will track rejected transactions, follow up on problems and resolve errors. You will handle vendor communication for billing and account set-up.</li> <li><em>Auditing. </em>You will work closely with the Finance Manager during audits, prepare documentation, maintain the historical integrity of information for audits and statistics, and organize archiving systems to ensure compliance with governing regulations.</li> <li><em>Stay up to date.</em> You will maintain your knowledge of current provincial legislation, including labour laws, employment, and payroll standards.</li> </ul>
Requirements: <p><strong>What you bring to the team as our new Finance Assistant:</strong></p> <ul> <li><em>The education and experience.</em> You have a degree in Accounting, Finance or Business Administration, Economics, or a related field. You have one year working in accounting or finance. You have an understanding of Fund Accounting principles.&nbsp;</li> <li><em>The analytical skills.</em> You can gather data, build reports, and conduct analysis, making recommendations with a high degree of accuracy.&nbsp;</li> <li><em>The technical skills. </em>You are highly proficient in Office 365 with strengths in Excel formulas, functions, and running database queries. Exposure to QuickBooks is an asset.</li> <li><em>Strong interpersonal skills.</em> You have excellent verbal and writing skills, including documentation, reporting, and presenting findings. You can build working relationships with individuals at any level. You can work independently and as part of a team. You remain calm in situations that involve multiple demands, being able to shift priorities with ease and resiliency.</li> <li><em>Additional requirements.</em> You have satisfactory clearance under the Vulnerable Sector Police Check Program. You must be eligible to work in Canada legally. You are open to a flexible schedule, including occasional evenings and weekends.
