Overview: <strong>The Company</strong><br /><br />Our client is a Obstetrician/Gynaecologist dedicated to caring for the reproductive health of women of all ages. The services include general gynaecology, obstetrics, endometriosis and pelvic pain, menstrual disorders, fertility, menopause and minimally invasive surgery, <br /><br />The practice consists of a Practice Manager and 2 part time Medical Secretaries. The medical software system used is Shexie. <br /><br /><strong>The Culture</strong> <br /><br />The culture of the organisation is characterised by the highest standard of professionalism, integrity and providing an outstanding level of customer service, time, care and support to patients. The atmosphere is friendly, harmonious and respectful, with emphasis on leading-edge knowledge, technology and research. <br /><br />All the team share the similar philosophy, work ethic and patient-focused approach. <br /> <br /><strong>The Role</strong><br /><br />The main objective of the role is to provide high quality reception and administrative services to the patients, doctors and staff at the practice.<br /><br />This is a permanent part time position. The role is for 3 days per week Monday, Tuesday and Friday and the hours of the role are 8.45am to 5-5.30pm. However, you will need to have a degree of flexibility to ensure that you are able to provide annual and sick leave cover for the other part time Medical Secretary.&nbsp; There is parking available on site at the premises.<br /><br />For telephone inquiries, please telephone Bernadette on 0414 943 541.
Responsibilities: <strong>The duties and responsibilities are:</strong><br /> <ul> <li>You are the first point of contact/impression of the business so you will provide an outstanding level of customer service on the telephone and in meeting and greeting customers</li> <li>Create a warm and welcoming environment to each and every patient, making it a personal experience for them</li> <li>Efficient management of all patient data, appointments, procedures, clinical files, correspondence and accounts</li> <li>Scheduling and effective management of patient bookings in Shexie software (new, follow up, recall and confirmation)</li> <li>Provide quotation to patients on medical and surgical procedures</li> <li>Co-ordination of surgical theatre lists and hospital admissions</li> <li>Provide information to patients on practice services and fees</li> <li>Management of patient invoicing and receipting of consultations as well as invoicing of surgical procedures</li> <li>Completion of end of day reconciliations (eftpos, credit card and cash)</li> <li>Stock control and ordering</li> <li>Dictaphone typing of letters and reports</li> <li>Scanning, filing, mail/fax (retrieval and distribution) and photocopying</li> <li>Assist the Practice Manager with ad hoc administration duties as required</li> </ul>
Requirements: <strong>Your Skills &amp; Knowledge</strong><br /><br />The ideal candidate will have the following attributes:<br /> <ul> <li>Previous experience as a Medical Receptionist/Secretary is essential.</li> <li>You are passionate about providing an exceptional level of customer service.</li> <li>Compassionate, empathetic and warm disposition.</li> <li>An ability to maintain strict confidentiality regarding all patient and practice matters.</li> <li>A high standard of work ethic &ndash; self-motivated, pro-active, takes pride in work.</li> <li>Dictaphone typing with a minimum typing speed of 50wpm.</li> <li>A brilliant administrator with excellent organisational and time management skills, able to multitask and establish efficient office systems.</li> <li>Able to work well independently, but also as part of a team.</li> <li>A high level of numeracy skills and attention to detail.</li> <li>Have the ability to connect and interact with people of all ages, background and personalities.</li> <li>Enjoy being part of a professional, happy and highly focused team.</li> </ul>
