You want to work on a corporate team but as part of a smaller, growing company. You want an opportunity to take on a range of tasks supporting high-level, busy executives; tasks, that fall outside the traditional EA role.</p> <p><strong>What&rsquo;s in it for you</strong></p> <ul> <li>Knowledge. You will be provided with on-the-job training resulting in the development of key strengths including the ability to support the activities of a legal department including: <ul> <li>Assembling production order documents.</li> <li>Preparing affidavits.</li> <li>Legal invoice processing.</li> <li>Routing of critical documents, incoming requests for legal assistance and requests from regulatory bodies.</li> </ul> </li> <li>Exposure. In addition to reporting to our Chief Legal Officer and Corporate Secretary, you will work side-by-side with our Assistant Vice President of Compliance and our Assistant Vice President of Legal. Three of the smartest women in the business, they can offer you endless learning opportunities from the nitty-gritty of governance to detailed legal contracts.</li> <li>Career growth. The previous incumbent is now the Assistant to the Board of Directors; you will give a chance to move across departments or up as we support your development.</li> </ul>
Responsibilities: <p><strong>As our new Legal, Compliance and Regulation Coordinator you will:</strong></p> <ul> <li>Calendar management. Primarily booking and prioritizing appointments and meetings for the Chief Legal Officer and Corporate Secretary and two Assistant Vice Presidents. Resolving calendar conflicts and negotiating rescheduling on a frequent basis.</li> <li>Support the day-to-day business. Confidentially assist the Chief and the Assistant Vice Presidents with administration, research projects and coordination tasks. This can include: <ul> <li>Preparing or proofreading documents and presentations.</li> <li>Coordinating contracts.</li> <li>Processing all departmental documents.</li> <li>Fulfilling records management needs.</li> <li>Providing booking assistance for the Deputy General Counsel and the Head of Participant and Stakeholder Affairs.</li> </ul> </li> <li>Provide a bridge for efficient communication between the Legal, Compliance and Regulation office, with both internal and external stakeholders. Oversee communication: <ul> <li>Maintaining the hub (intranet).</li> <li>Preparing and editing letters, memos and mass emails.</li> <li>Prioritizing and processing email, mail, calls, issues and requests, while determining the appropriate course of action, referral or response.</li> </ul> </li> <li>Prepare and submit expense reports. With a high attention to detail and accuracy, review, organize and submit expenses for reimbursement.</li> <li>Plan events. Coordinate and oversee events such as Annual Client even, department and functional unit lunches.</li> </ul>
Requirements: <p><strong>How do we know that&rsquo;s you? You have:</strong></p> <ul> <li>The education. A post-secondary degree or diploma.</li> <li>The experience. 3+ years of experience in an administrative, coordinator or support role.</li> <li>The passion. An interest in learning more about business law, compliance and regulation. A desire to work in an environment of rapid growth.</li> <li>The personality. The sense of ownership and enthusiasm do whatever needs to be done, learn quickly and adapt to a dynamic team. Proven ability to effectively prioritize many conflicting demands.</li> <li>The drive. Excellent strategic thinking and logistical planning capabilities. The initiative to identify and recommend improvements in your job function, research and investigate issues requiring resolution to execute on assigned tasks.</li> <li>The independence. Proactively on your own or collaboratively as part of the team anticipate and fulfill all business needs with a high degree of integrity, honesty and ethics.</li> <li>The technical skills. Expertise in MS Office.</li> <li>Outstanding communication and interpersonal skills. Confident and empathetic approach to working with internal team members, executives and high-value external stakeholders. From telephone to email. From presentations to letters.
