Overview: <p>The Director of Bio and Gift Records is responsible for maintaining a program of accurate, timely and consistent processing of gifts and bio records. &nbsp;The goal is to assure the high quality of our operations and services contributing to the long-term success of the LSU Foundation.&nbsp;The Director of Bio and Gift Records will work collaboratively with Advancement Services functional leads on ongoing and one-time projects and will often serve as project lead on data acquisition, integration, and/or conversion projects.<br /><br /></p> <p>The Director of Bio and Gift Records is also responsible for the timely and accurate processing of all gifts to the LSU Foundation, in compliance with IRS, CASE, and other standards. They will ensure all donor gift information is captured comprehensively and with integrity. This team leads with a donor-centric perspective and works collaboratively with the donor relations, annual giving, and major giving teams to create a positive donor experience.</p>
Responsibilities: <p><u><strong>Operations:</strong></u></p> <ul> <li>Regularly assess and adjust resources to meet demands of fluctuating gift and record volumes. &nbsp;</li> <li>Manage gift processing to assure accurate recording of all contributions.&nbsp;</li> <li>Coordinate timely response to requests for information from units, donors, alumni and others.</li> <li>Assist staff in decision making regarding complex scenarios.</li> <li>Assure gift processing, receipting and data updates are completed within established timeframes.</li> <li>Leverage the Foundation&rsquo;s ticketing system to triage and manage incoming requests.</li> </ul> <p><u><strong>Data Integrity and Data Management:</strong></u></p> <ul> <li>Leading data import projects to minimize duplicate records and utilize data import tools</li> <li>Proactively identify data segments that would benefit from data appends</li> <li>Creating and running data integrity reports to inform critical updates</li> <li>Ensure the timely and accurate data imports and updates for faculty and staff, parent, student, alumni, and VIP records</li> <li>Proactively work within the development enterprise to help ensure best practices are followed in relation to the completeness and integrity of data</li> <li>Create and maintain a master schedule of data acquisitions</li> </ul> <p><u><strong>Process Management:</strong></u></p> <ul> <li>Keep apprised of industry best practices and compliance &ndash; Council for Advancement and Support of Education (CASE) guidelines and the IRS regulations.</li> <li>Maintain working knowledge and documentation for all department processes and procedures. &nbsp;Ensure processes are documented and updated regularly. &nbsp;</li> </ul> <p><u><strong>Team Management and Administration:</strong></u></p> <ul> <li>Foster and maintain a respectful, positive and productive team environment.&nbsp;</li> <li>Establish team and personal performance goals and priorities.&nbsp;</li> <li>Maintain budget and manage vendor contracts for third-party data appends and data services.</li> </ul> <p><u><strong>Special Projects:</strong></u></p> <ul> <li>Identify and perform data and historical cleanup projects as required</li> <li>Identify system needs, request enhancements/improvements and collaborate with other departments as necessary.&nbsp;</li> <li>Work with the Tiger Athletic Foundation, Alumni Association and other campuses (LSUE, LSUA) as needed on reporting and data import/export requests. Examples include TAF priority points, Alumni Directory, and constituent data.&nbsp;</li> <li>Perform other duties as directed or required. &nbsp;</li> </ul>
Requirements: <ul> <li>Proficiency working with relational database management systems and overseeing large data conversions.</li> <li>Proven experience serving in a managerial or supervisory category.</li> <li>Effective organizational skills, oral and communication skills, interpersonal skills, and a collaborative work style are required.</li> <li>High comfort level with Office 365 suite, particularity Excel.</li> <li>Exercise sound judgment and decision-making skills.</li> <li>Results and service-oriented attitude with special attention to responding timely with accuracy and precision.</li> <li>Strong focus on attention to detail and accuracy.</li> <li>Ability to work within a team environment.</li> </ul> <p><strong>Preferred Knowledge &amp; Skill Qualifications</strong></p> <ul> <li>Organizational skills to handle multiple projects simultaneously, meet deadlines, and work independently</li> <li>Understanding of the development process and experience with higher education fundraising database, preferably ADVANCE .</li> <li>Experience in Gift Processing and familiarity with gift accounting rules.&nbsp;</li> </ul> <p><strong>Work Environment Requirements</strong></p> <ul> <li>May be required to occasionally work extended workdays, evenings or weekends.</li> </ul>
