This individual will play a role in work flows within many departments within the development enterprise, including Gift Processing, Annual Giving, Donor Relations, Planned Giving, etc., and is responsible for the daily activities necessary to achieve data health.

Overview: The Director of Records and Data Management reports to the Assistant Vice President of Advancement Services and assumes a leadership role in the acquisition, management, and integrity of over 500,000 alumni, donor, and other constituent records in the Advance database. &nbsp;Data integrity is essential to development activities. &nbsp;The Director of Records and Data Management is responsible for maintaining a robust biographical services program to maintain data of the highest integrity for use by LSU&rsquo;s development enterprise. &nbsp;This includes establishing and maintaining data health metrics and creating policies, procedures, and job aides on biographic data entry based on industry standards. &nbsp;The Director of Records and Data Management will create and maintain a master schedule of data acquisitions (ex. Graduate, student, and parent records imports) and collaborate with other stakeholders such as Annual Giving on data integrity and cleanup needs, with the overall goal to grow the donor prospect pipeline.
Responsibilities: <p><strong>Essential Duties &amp; Responsibilities</strong>&nbsp;</p> <p>The Director of Records and Data Management will play a role in work flows within many departments within the development enterprise, including Gift Processing, Annual Giving, Donor Relations, Planned Giving, etc., and is responsible for the daily activities necessary to achieve data health, which include:</p> <ul> <li>Create and maintain a comprehensive data management plan for the LSU development enterprise</li> <li>Lead LSU development enterprise in developing business rules for data imports and storage in data acquisition projects</li> <li>Managing a staff consisting of three full-time Data Integrity Specialists and multiple student workers</li> <li>Ensure timely and accurate completion of all records and project requests received through the JIRA ticketing system</li> <li>Ensure timely management of the entity update queue and processing data batches</li> <li>Ensure timely and accurate completion of daily biographic updates associated with all gifts received through online giving platform</li> <li>Maintain anonymous donor records and communication and contact controls to align with donor centered practices</li> <li>Creating and running data integrity reports to inform critical updates</li> <li>Updating faculty and staff, parent, student, alumni, and VIP records</li> <li>Proactively researching lost alumni and identifying deceased alumni</li> <li>Researching new contact information for returned mail appeals</li> <li>Leading data import projects to minimize duplicate records and utilize data import tools</li> <li>Performing ongoing record functions, such as creating new records, updating marital, family, and employment data, merging duplicate records, purging records, etc.</li> <li>Notifying prospect research and development of changes to key constituent records</li> <li>Reporting to leadership on the overall health of the database</li> <li>Maintaining a budget and managing vendor contracts for third-party data appends and data services</li> <li>Providing oversight to ongoing records functions, such as creating new records, merging duplicate records, purging records, etc.</li> <li>Proactively working within the development enterprise to help ensure best practices are followed in relation to the completeness and integrity of data</li> </ul> <p>The Director of Records and Data Management will work collaboratively with Advancement Services functional leads on ongoing and one-time projects and will often service as project lead on data acquisition, integration, and/or conversion projects.</p> <p><strong>Marginal Duties &amp; Responsibilities</strong>&nbsp;</p> <ul> <li>Work with the Tiger Athletic Foundation to synchronize multi-foundation donors for priority points reporting.</li> <li>Work with the Alumni Association to assist with alumni directory efforts</li> <li>Work with LSU branch campuses to lead and project manage data cleanup and data acquisition projects into Advance database</li> </ul>
Requirements: <ul> <li>Baccalaureate degree from an accredited college or university</li> <li>A minimum of five years of related experience</li> <li>Effective organizational skills, oral and communication skills, interpersonal skills, and a collaborative work style are required</li> <li>Exercise sound judgment and decision-making skills</li> <li>Proven experience serving in a managerial or supervisory category</li> <li>Results and service-oriented attitude with special attention to responding timely with accuracy and precision</li> <li>Proficiency working with relational database management systems and overseeing large data conversions</li> <li>High comfort level with Office 365 suite, particularity Excel</li> <li>Ability to analyze large data sets, highly detailed oriented, and self-motivated</li> </ul> <p><strong>Preferred Knowledge &amp; Skill Qualifications</strong></p> <ul> <li>Advanced degree in a related field (Business Administration, Social Sciences, Library and Information Science, Non-Profit Management, etc.) or certification</li> <li>Ability to work within a team environment</li> <li>Organizational skills to handle multiple projects simultaneously, meet deadlines, and work independently</li> <li>Understanding of the development process and experience with higher education fundraising database, preferably ADVANCE.</li> </ul> <p><strong>Supervisory Responsibilities&nbsp;</strong></p> <ul> <li>Three full-time Data Integrity Specialists</li> <li>Three part-time student workers</li> </ul> <p><strong>Work Environment Requirements&nbsp;</strong></p> <ul> <li>May be required to occasionally work extended workdays, evenings or weekends</li> </ul>
