Executive Assistant

Overview: The Executive Assistant ensures the efficient day-to-day operation of the offices of the President and CEO. This individual must be exceptionally well organized and able to work effectively with a variety of staff across the organization and campus and provide administrative, strategic, and development support to the President and CEO. Confidentiality is paramount regarding this position given the access and exposure to sensitive information during meetings, phone calls, and interaction with the President and related stakeholders.
Responsibilities: <p><strong>Essential Duties &amp; Responsibilities</strong></p> <ul> <li>Assist President and CEO in interactions with Foundation staff, Board of Directors, donors, and general public, including arranging meetings, coordinating internal staff reports, and coordinating and distributing outgoing reports and correspondence.&nbsp;</li> <li>Accompany President and CEO to various meetings, dictate and take notes for donor visits which are to be entered into the Advance database.</li> <li>Serve as a custodian of President and CEO&rsquo;s email and all related communication</li> <li>Host daily briefings for the President and CEO to prepare and plan for all meetings and major events</li> <li>Effectively communicate with department heads and executive staff to keep abreast on current information regarding CEO matters.&nbsp;</li> <li>In the absence of the President and CEO, communicate directly with LSU administrators, Foundation Board Members, and donors, exercising independent judgment to solve problems or obtain assistance from other staff.</li> <li>Organize and coordinate executive outreach and external relations efforts; oversee special projects.</li> </ul> <p><strong>Marginal Duties &amp; Responsibilities</strong>&nbsp;</p> <ul> <li>Maintain distribution lists for reports and/or information sent to the board and/or campus deans and directors; assists with electronic correspondence, via email; route routine acknowledgement letters generated by various staff to President and CEO for signature.</li> <li>Complete projects/reports as requested by President and CEO.</li> </ul>
