Executive Assistant

Overview: <p>Reporting to the Associate Director of Development Operations, this individual plays an important role in the tactical functioning of the executive level team. S(he) will be responsible for managing the schedules of&nbsp;two executive level team members. This will include working closely with a variety of team members and external stakeholders. S(he) will also be responsible for all meeting preparation to ensure meetings function as needed. The appointee should also possess excellent time management skills and the ability to think critically. S(he) will be required to maintain/organize documents electronically to be retrieved easily. The EA for Development should also demonstrate good communication and customer service skills.&nbsp;</p>
Responsibilities: <ul> <li>Manage the schedules of two executive level team members. This will require the appointee to be responsive for requests of executive time, set up conference calls or skype meetings as needed and be thoughtful regarding other required meeting attendees.</li> <li>Plan and confirm travel as needed. Book full travel itinerary which may include flights, car rental, providing detailed preparation for offsite meetings, hotels, restaurant reservations, etc.</li> <li>Prepare executives for daily meetings by reviewing their schedules regularly, identifying and addressing any concerns, providing meeting support as needed, room reservations and set ups, printouts, sharing/saving presentations and materials.</li> <li>Archive meeting notes for later review and/or distribution.</li> <li>Attend trainings and serve as member of work groups as needed.</li> <li>Other duties as appropriate</li> <li>Assist executive team with other special projects as needed.</li> </ul>
Requirements: <ul> <li>Bachelor&rsquo;s degree from an accredited college or university, preferably in business related field</li> <li>Proficient in Microsoft Office</li> <li>Excellent interpersonal communication and organizational skills</li> </ul> <p><strong>Preferred Knowledge &amp; Skill Qualifications</strong>&nbsp;</p> <ul> <li>The ability to work under pressure to coordinate and prioritize multiple requests and meet competing deadlines.</li> <li>Excellent relationship-building and interpersonal skills.</li> <li>Demonstrated success in using a donor database</li> </ul>
