Overview: Responsible for ensuring all activities related to the daily operation of the business are managed and executed efficiently. Perform administrative duties for the Vice President, and business leaders on the Research &amp; Development, Quality and Automation Teams.<br /><br /><strong><br /><br /></strong>
Responsibilities: <ul> <li>Perform administrative duties and departmental support for Vice President of R &amp; D. and the Innovation Center team. Develop and maintain department calendars to include; coordination of vacation and travel schedules and assist with the use of the online travel booking tool.</li> <li>Schedule appointments and coordinate on and off-site meetings/events, including communicating with meeting/event participants, ensuring room scheduling, setup and equipment requirements, coordinating catering when required, distributing of agenda and meeting minutes.</li> <li>Ensures coordination between the Payroll and HRIS departments to accurately account for all employee status changes that occur on a weekly basis.</li> <li>Responsible for ad hoc HR reporting including; active employee listing, headcount report, benefit enrollment, annual review and others as assigned.</li> <li>Run reports and navigate thru La-Z-Boy system to include: E1, Agile and DOMO and others as assigned</li> <li>In coordination with the campus HR team, provide communication and support to Innovation Center employees on matters involving local policy review, compliance, employee engagement, and ad hoc training.</li> <li>Manage cleaning service, outside maintenance staff in addition to maintaining warranty &amp; service agreements for equipment and building systems</li> <li>Advise leaders of special events or circumstances occurring within the community to enhance their profile as community leader(s); meet with special interest groups or individuals on behalf of management.</li> <li>Greet visitors and determine the level of access, coordinate visitor schedules and tours of the facility.</li> <li>Create purchase, maintain and submit work orders to maintain equipment and approve expense reimbursement for vendors</li> <li>Purchase and maintain all necessary equipment and/or supplies for the facility.</li> <li>Maintain security access changes as needed.</li> <li>Assist in preparation of annual budget and R&amp;D tax credit submissions.</li> <li>Develop and edit presentations as needed</li> <li>Lead building administration projects as assigned.</li> <li>Exercise good judgment and confidentiality in making decisions related to work flow and functioning of the department.</li> <li>Manage site expenses, petty cash, and corporate credit card accounts.</li> <li>On site liaison for facilitation of communications to include distribution of HR and HQ material; such as benefit packets, branding material.</li> </ul> <br /><strong>SCOPE &amp; IMPACT:</strong> <br />Ensures the daily operational needs for Research and Development are met by executing requests in a timely manner. Positively impacts the morale of the department by ensuring business issues are addressed and employee needs are met in order to deliver department and business objectives.
