Overview: The Transportation Manager serves as the hub of all activities related to Transportation for the region. Through direct and indirect supervision, the TM ensures the timely, accurate and cost effective routing of trips and exceptional service through our Transportation CSR and Router Teams.
Responsibilities: <ul> <li>Transportation Customer Service The Transportation Manager establishes, develops and maintains a team of Transportation Customer Service Representatives that exhibits outstanding problem solving skills as well as excellent verbal, written and interpersonal communication skills when communicating with members and their families, health care facilities, transportation providers and internal customers. Using observation, reporting and forecasting, ensures that the TCSR Team:</li> <li>Is staffed appropriately to receive calls/faxes</li> <li>Records and correctly codes the calls/faxes it receives</li> <li>Works cooperatively with Routing Team and other internal resources to help resolve TP issues quickly and effectively. Using observation, reporting and review, ensures that the TCSR Leads and/or Supervisors are adhering to all LogistiCare and regulatory standards related to supervision of their direct reports, including timekeeping and policy adherence. Establishes, maintains and strengthens Team processes to ensure effectiveness Assists with providing support to all internal customers in pursuit of excellent customer service Routing Team The Transportation Manager establishes, develops and maintains a team of skilled and cross-trained Routers that exhibits outstanding problem solving skills as well as excellent verbal, written and interpersonal communication skills when communicating with members and their families, health care facilities, transportation providers and internal customers. Using observation, reporting and forecasting, ensures that the Router Team:</li> <li>Is staffed appropriately for each Level of Service.</li> <li>Uses standardized processes and procedures, as well as make effective use of all provided tools, to ensure that all trips are routed correctly, timely and cost effectively.</li> <li>Follow all procedures related to the approval of Cost Overrides.</li> <li>Works cooperatively with TCSR Team and other internal resources to help resolve issues quickly and effectively.</li> <li>Using observation, reporting and review, ensures that the Router Leads and/or Supervisors are adhering to all LogistiCare and regulatory standards related to supervision of their direct reports, including timekeeping and policy adherence.</li> <li>Establishes, maintains and strengthens Team processes to ensure effectiveness.</li> <li>Oversees the approval of Cost Overrides to ensure that they are being used cost efficiently, and reviewed for approval in accordance with established policy.</li> <li>Data Collection, Maintenance and Reporting Develops, maintains, revises, and runs reporting needed to both review past performance to spot areas for improvement and to forecast forward to develop suggested plans to manage future changes. This includes: <ul> <li>Standard daily/weekly reporting for each Team to be used as tools to provide the necessary visibility into productivity and/or potential issues</li> <li>Standard periodic metrics required for oversight, including items for Project Catalyst, Directors, Assistant General Manager, General Manager, etc.</li> <li>Other ad hoc reporting, as required.</li> </ul> </li> </ul>
Requirements: <ul> <li>Competency Statement(s)</li> <li>Analytical Skills - Ability to use thinking and reasoning to solve a problem</li> <li>Communication, Oral - Ability to communicate effectively with others using the spoken word</li> <li>Communication, Written - Ability to communicate in writing clearly and concisely</li> <li>Customer Oriented - Ability to take care of the customers' needs while following company procedures.</li> <li>Decision Making - Ability to make critical decisions while following company procedures.</li> <li>Interpersonal - Ability to get along well with a variety of personalities and individuals.</li> <li>Management Skills - Ability to organize and direct oneself and effectively supervise others.</li> <li>Problem Solving -- Ability to find a solution for or to deal proactively with work-related problems</li> <li>Relationship Building - Ability to effectively build relationships with customers and co-workers</li> <li>Working Under Pressure - Ability to complete assigned tasks under stressful situations</li> <li>Education: BA/BS Degree preferred</li> <li>Experience: Three to Five years' Management experience is required; managing supervisors as Direct Reports is highly preferred.</li> <li>Transportation, routing, or, dispatching experience and/or knowledge of transit system is also highly preferred.</li> <li>Experience with transportation providers and/or medical transportation and contract enforcement, as well as knowledge of transportation provider costs, pricing strategies, budget management, budget preparation and reporting are all highly preferred.</li> <li>SKILLS &amp; ABILITIES <ul> <li>Computer Skills Intermediate skills in Microsoft Word, Excel, and Outlook.</li> </ul> </li> <li>Other Requirements Three to Five years' Management experience is required; managing supervisors as Direct Reports is highly preferred.</li> <li>Transportation, routing, or, dispatching experience and/or knowledge of transit system is also highly preferred.</li> <li>Knowledge of Medicaid guidelines a plus.</li> <li>SUPERVISORY RESPONSIBILITIES <ul> <li>Directly supervises Transportation CSR and Router Leads and Supervisors; carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.</li> <li>Responsibilities include interviewing, hiring, training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.</li> </ul> </li> <li>PHYSICAL DEMANDS <ul> <li>The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.</li> <li>Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.</li> <li>While performing the duties of this Job, the employee is regularly required to talk or hear.</li> <li>The employee is frequently required to use hands to finger, handle, or feel.</li> <li>The employee is occasionally required to stand, walk, and reach with hands and arms.</li> <li>Specific vision abilities required by this job include close vision.</li> </ul> </li> <li>WORK ENVIRONMENT <ul> <li>The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.</li> <li>Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.</li> <li>Approximately 90% of work time is conducted in an office environment in a controlled atmosphere building and approximately 10% will involve travel.</li> <li>The noise level in the work environment is usually moderate.</li> </ul> </li> </ul>
