Responsibilities: <strong>Legal Support:</strong><br /><br /> <ol> <li>Lead by example with the highest level of integrity and confidentiality</li> <li>Serve as the primary point of direct administrative contact and liaison with other departments, individuals, and external parties on a range of issues</li> <li>Process documents for signature, store documents in appropriate locations, and accurately follow file syntax</li> <li>Format and proofread (for spelling, grammar, and formatting) contracts and communications with direction from Legal Department personnel, as appropriate</li> <li>Support the contract management software functions (Laserfiche) - perform end-to-end user acceptance testing, provide daily support to Laserfiche users and workflow, train users in certain Laserfiche functions, and manage day-to-day contract workflow in Laserfiche</li> <li>Backup the Supervisor in managing the legal request email</li> </ol> <br /><strong>Administration &amp; Projects:</strong><br /><br /> <ol> <li>Manage end-to-end expenses for the Legal Department, including outside counsel invoices</li> <li>Consistently adhere to administrative procedures</li> <li>Execute or provide assistance with projects as assigned</li> <li>Maintain and update databases and tracking systems</li> <li>Provide administrative support to include telephone coverage; management of calendars/schedules; make necessary travel arrangements; perform copier projects; handle and sort mail; filing; order supplies; and necessary internal and external communications</li> <li>Prepare internal reports such as check requests, expense reports, and miscellaneous data entry projects</li> <li>Perform other job-related duties as assigned</li> </ol> <br /><strong>General:</strong><br /><br /> <ol> <li>Promptly report any allegations of impropriety to the Compliance Department</li> <li>Comply with Maxor&rsquo;s Ethical Business Conduct policy and Maxor&rsquo;s Compliance</li> <li>Program</li> <li>Remain free from exclusion under the OIG and SAMS Medicare/Medicaid lists</li> <li>Complete required training, as assigned, within the established timeframes</li> <li>Maintain regular attendance in accordance with established policies</li> </ol>
Requirements: <strong>Education:</strong> <br /><br /> <ul> <li>High school diploma or equivalent</li> <li>Associate degree preferred or equivalent work experience</li> </ul> <br /><strong>Experience Required:</strong><br /><br /> <ul> <li>5+ years in an Executive Assistant role or an equivalent role within a legal, regulatory, and/or compliance department</li> <li>5+ years in a role directly supporting and communicating regularly with executives, sales, and/or external clients</li> <li>Advance knowledge of Microsoft Office and Adobe Acrobat</li> </ul> <br /><strong>Knowledge, Skills, and Abilities:</strong><br /><br /> <ul> <li>Possess very strong attention to detail and intuitive organization skills</li> <li>Ability to manage to multiple processes and competing deadlines</li> <li>Must have effective written and verbal communication skills</li> <li>Ability to create and proofread written materials</li> <li>Effectively develop meaningful relationships with a wide range of individuals at all levels of an organization, both internal and external</li> <li>Thoughtfully address requests for information and raise items to management as warranted</li> <li>Must have a very strong working knowledge of Microsoft Word, and a strong working knowledge of Microsoft Excel, Outlook, and PowerPoint and Adobe Acrobat</li> <li>Continually seek ways to improve processes and propose changes</li> <li>Possess knowledge and experience to make administrative and minor procedural decisions and judgments on sensitive, confidential issues with little to no direction</li> <li>Prioritize, organize and coordinate daily work timely, effectively work under pressure, and manage to competing deadlines with some direction</li> <li>Maintain the highest level of confidentiality of company, personal, and sensitive information</li> <li>Knowledge of clerical, office administrative procedures, and knowledge of use and operation of standard office equipment</li> <li>Creative, reliable, and capable of learning quickly</li> </ul> <br /><strong>Why Choose a Career at Maxor?</strong><br /><br />Maxor offers a diverse, progressive culture that supports a &ldquo;dress for your day&rdquo; attire, and a collaborative, team oriented environment.
