Responsibilities: <ul> <li>Record, (taking meeting minutes, when appropriate) type, print, and save memos, letters and other documents while maintaining the highest degree of confidentiality on designated corporate matters.</li> <li>Proofread written material before distributing to ensure accuracy.</li> <li>Develop, maintain, and organize various .doc, .xlxs, and .ppt documents independently, sometimes with minimal direction. Ability to retrieve said documents as needed.</li> <li>Handle requests from executives in a timely manner and with a high degree of accuracy.</li> <li>Responsible for managing the calendars of the staff including scheduling of meetings and rooms, inclusive of facilities, A/V and food orders for various internal and external events. This will include the coordination of semi-annual Town Halls and working with outside vendors to secure licensing reservations.</li> <li>Partner with Workforce Management and Training Teams regarding class schedules to support the Contact Center.</li> <li>Coordinate travel arrangements and prepare expense reports. Schedule and oversee arrangements in connection with meetings and other corporate functions.</li> <li>Prepare and submit requisitions for payment of various Personal Lines expenses, this includes the regular follow up on items that are past due.</li> <li>Perform other duties such as sorting and distribution of mail, management of returned mail, ordering office supplies, often without being asked.</li> <li>Support budget research as needed.</li> <li>Presents polite, professional demeanor and appearance consistent with corporate image, answer incoming phone calls for assigned officer(s), frequently handling the matter to completion and maintaining confidentiality as to designated matters.</li> </ul>
Requirements: <ul> <li>Associate level degree preferred</li> <li>Previous administrative assistant experience; experience supporting higher level leaders is strongly preferred</li> <li>Strong proficiency with MS Office Suite (Outlook, Word, Excel and PowerPoint, Visio)</li> <li>Above average proficiency in typing, proofreading and grammar</li> <li>Ability to work with a high degree of accuracy and strong attention to detail</li> <li>Excellent communications skills (verbal, written and active listening) and transcription skills</li> <li>Ability to multi-task and to deal with interruptions and able to regain focus on task at hand</li> <li>Ability to collaborate with other co-workers and work in a team environment</li> <li>Projects a polished and professional image</li> <li>Strong organizational, problem-solving skills with impeccable multi-tasking abilities</li> <li>Exceptional interpersonal skills</li> </ul>
