Overview: <strong>Req. No.:&nbsp;R0001263</strong><br /><br />The PNAS Senior Subscriptions Specialist reports to the Director of Finance, Licensing, and Administration. The role manages the journal's day-to-day <span class="WLL2">Subscriptions/Licensing</span> operations. Responsibilities include managing relationships with sales agents and <span class="WLL2">individual/institutional</span> subscribers, working with the Director to develop pricing strategies for licenses and transformative agreements, managing vendor relations, and serving as the key publisher liaison with research librarians. Supervises staff.<br /><br />The Senior Subscriptions Specialist will work closely with the Director to plan, drive, and track the progress of partnerships, subscriber/librarian outreach, prospect new consortia/multi-site deals, and lead negotiations for transformative agreements. An essential task will be transforming subscriber interactions to a self-service model. The Senior Subscriptions Specialist also coordinates and facilitates the biennial Librarian Advisory Group (LAG) meeting with a select group of research librarians to discuss industry trends, share resources, and promote engagement.<br /><br />Under general direction, incumbent applies specific professional-level functional knowledge to solve problems requiring the identification and analysis of moderately complex variables. Takes action to solve problems/issues that routinely arise in areas of assigned responsibility, but may receive guidance or expertise from higher-level staff on more complex problems. Has authority to deviate from standard practices, but is required to advise superiors of action and must inform superiors or non-routine situations. May either have full supervisory responsibilities for assigned staff or assist with supervision of staff.<br /><br />The incumbent will work with a wide range of global internal and external stakeholders, and must foster and promote an environment and culture that promotes inclusion within the department and must possess a strong commitment to diversity, equity, and inclusion
Responsibilities: <ul> <li>Manages third-party vendors handling subscription activities, including fulfillment. Ensures adherence to contractual obligations and evaluates activities to determine their effectiveness.</li> <li>Coordinates yearly renewal cycle with third-party vendors, sending renewal notices and tracking actual renewal orders, providing guidance for price quotations, assigning tier levels, and managing invoice requests.</li> <li>Compiles monthly circulation report, provides other subscriber data as needed.</li> <li>Serves as a customer service lead and subscription fulfillment liaison for individual and institutional subscribers.</li> <li>Negotiates and determines pricing for products, subscriptions, fees, etc., considering market trends, income needs, and various discounting methodologies.</li> <li>Serves as liaison with libraries, subscription agents, and online platform host regarding general inquiries, subscriptions, payment confirmations, tier pricing, trial accounts, access troubleshooting, IP address updates, single sign-on (SSO), usage reports, and online site licenses.</li> <li>Provides leadership and mentors employees. Trains and develops employees to successfully perform current responsibilities and encourages development of staff for future roles. Forms effective teams and cultivates a work environment that fosters teamwork. Interprets and ensures consistent application of organizational policies. Initiates personnel actions, including performance and compensation reviews and disciplinary actions.</li> <li>Works with Finance colleagues to build annual budget models and track revenue, effectively explain variances.</li> <li>Resolves subscriber payment questions and discrepancies, ensures payments are accurately posted.</li> <li>Works closely with Procurement and General Counsel to ensure licensing agreements/contracts are in compliance with NASEM policies and guidelines.</li> <li>Prepares year-end subscriptions budget summary reports for annual meetings.</li> <li>Monitors the subscriptions web pages, ensuring the content is up-to-date and accurate.</li> <li>Monitors commercial print-on-demand (POD) sales, confirms collection of payments, and answers general inquiries.</li> <li>Ensures that processes and workflows are robust but efficient and followed according to established objectives. Working closely with leadership and key stakeholders, review existing workflows for optimization and implement new workflows in a continuous improvement model.</li> <li>Develops and maintains trusted and productive relationships with research librarians, sales agents, vendors, and internal and external stakeholders.</li> <li>Develops, implements, and ensures compliance with department policies and procedures.</li> <li>Manages subscription programs, distribution systems, and inventory activities (PNAS swag and merchandising materials to sales agents). May negotiate terms and conditions regarding copyright and data ownership.</li> <li>Works collaboratively with the Director to analyze data, evaluate risks for new subscription models, and build forecasts for potential new deals.</li> <li>Collects and analyzes data and industry trends based on usage, conducts external market research, and negotiates transformative agreement deals.</li> <li>Manages the workflow, establishes success criteria, and tracks and reports on the performance of transformative agreements.</li> </ul>
Requirements: <p dir="LTR"><strong>Required Knowledge, Skills, and Abilities</strong><span class="WLL2">:&nbsp;&nbsp;Requires</span> excellent communication skills, detail orientation, deadline and budget sensitivity, and an ability to analyze and develop marketing strategies.&nbsp; Ability to solve intellectual problems of appreciable variety and complexity using originality and ingenuity.&nbsp; Ability to exercise appreciable latitude for independent judgment and action.&nbsp; Experience working in complex environments with a high degree of organizational effectiveness.&nbsp; Ability to work successfully in a team environment.&nbsp; Ability to develop relationships with co-workers and employees in other National Academies' departments through effective communication.&nbsp; Excellent communication skills with a proven ability to effectively interact with all levels of employees.</p> <p dir="LTR"><strong>Minimum Education/Training Requirements:</strong><span class="WLL2">&nbsp;&nbsp;Bachelor's</span> Degree is preferred, or equivalent knowledge.</p> <p dir="LTR"><strong>Minimum Experience:</strong>&nbsp;&nbsp;Three years of related professional experience, one of which was in a supervisory capacity is preferred.</p> <p dir="LTR"><strong>Physical Capabilities:&nbsp;</strong>&nbsp;Ability to work at a computer for extended periods of time.</p> <p dir="LTR"><strong>Required Licenses, Certification or Registration:</strong>&nbsp;&nbsp;None.</p> <p dir="LTR"><strong>Supervisory <span class="WLL2">Responsibilities/Controls:</span></strong>&nbsp;&nbsp;Reports to <span class="WLL2">Director.&nbsp;General</span> direction is <span class="WLL2">provided.&nbsp;&nbsp;Supervises</span> staff.</p> <p dir="LTR"><strong>Work Environment:</strong>&nbsp;&nbsp;Office environment with occasional travel between National Academies' facilities and to off-site locations.</p>
