Overview: <strong>Req. No.: R0001420</strong><br /><br />Provides support in one or more functional areas in Human Resources (HR) such as employment, compensation, benefit servicing, human resources information system, personnel records, staff development, and employee relations. With a focus on outstanding customer service, responds to inquiries from HR Service Center and resolves problems. Disseminates human resources policies, procedures, and information by answering HR Service Center requests, forwarding employee communication materials to staff, and, if applicable, meeting with staff one-on-one. Processes requested personnel actions submitted by units, obtains proper authorizations, and implements approved actions. Prepares reports in conformance with legislative requirements or organization needs. <br /><br />Works closely with either supervision or under clearly defined procedures. Performs a variety of administrative and HR-related tasks requiring experience and judgment. Receives guidance/supervision on new assignments but normally works independently on mastered tasks. Follows established procedures and guidelines to perform essential functions accurately, proficiently, and on time. Uses pre-determined guidelines to assist in decision-making.
Responsibilities: <br /> <ul> <li>Provides support in the administration of established human resource policies in employment, employee relations, compensation, benefits, human resources information systems, etc.&nbsp;</li> <li>Maintains related records, scans documents, and updates logs.&nbsp;</li> <li>Prepares and distributes a variety of reports as required.</li> <li>Serves as a resource to staff on human resource matters.&nbsp;</li> <li>Advises staff on HR policies and procedures.&nbsp;</li> <li>Recommends improvements to processes and procedures.</li> <li>Maintains an appropriate standard of confidentiality.&nbsp;</li> <li>When handling secure, privileged, sensitive, or confidential information and matters, maintains strict confidence and exercises care to prevent disclosure to others.&nbsp;</li> <li>Accesses confidential information for work-related reasons only, following the policies and procedures of the organization.</li> <li>Ensures that any privileged, sensitive, or confidential information is securely stored, disposed of, and transmitted according to the Institutional guidance.</li> </ul> <p>&nbsp;</p> <p>Performs duties in one or more of the following areas:</p> <p>&nbsp;</p> <p><strong>Human Resource Service Center:</strong></p> <ul> <li>Through the HR Service Center, responds to inquiries, disseminates human resources policies, procedures, and information, and resolves problems, processes requests, or forwards to the appropriate party for resolution.</li> <li>Evaluate and processes personnel actions after obtaining proper authorizations.</li> <li>Responds to employee correspondences.</li> <li>Conduct orientation and responsible for full hire and onboarding cycle.</li> <li>Complete employment verifications in a timely manner.</li> </ul> <p>&nbsp;</p> <p><strong>Employee Relations:</strong></p> <ul> <li>Coordinates special events (Benefit Fair, Bring a Child to Work Day, Retirement Counseling Sessions, Benefit Mailings, etc.) as well as wellness activities (meditation classes, weight watchers, mother&rsquo;s room, etc.).</li> <li>Provides assistance during the annual performance review process. Tracks and ensures all performance reviews are submitted.</li> <li>Maintains a variety of employee relations logs, files, and binders.</li> </ul> <p>&nbsp;</p> <p><strong>Human Resource Information System (HRIS):</strong></p> <ul> <li>Reviews confidential paperwork for accuracy and completeness in the HRIS. Completes employee-related business processes in a timely manner.</li> <li>Performs follow-up as necessary with other functional groups within OHR and other departments for clarification and process notification.</li> <li>Prepares standardized reports on a regular basis and distributes reports to respective customers. Maintains data integrity by running queries and analyzing data. Conducts ad hoc reporting.</li> <li>Creates, maintains, and updates SOPs that support established procedures and guidelines.</li> <li>Responsible for bi-annual system update testing and provides assistance to HR Technology Services staff for system changes, software upgrades, and new module implementations.</li> <li>Assists with audits and special projects.&nbsp;</li> </ul> <p>&nbsp;</p> <p><strong>Benefits:</strong></p> <ul> <li>Conducts variety of weekly audits to ensure proper benefit enrollments and vendor data.</li> <li>Reconcile benefit vendor invoices and bank information</li> <li>Review benefit communications (annual enrollment material, benefit brochure, etc.)</li> </ul> <p>&nbsp;</p> <p><strong>Leave:</strong></p> <ul> <li>Manage cases for assigned portfolio with respect to employees experiencing medical and bonding leave</li> <li>Work with disability vendor to support assigned portfolio of cases</li> <li>Ensure compliance with FMLA and ADA</li> </ul> <p>&nbsp;</p> <p><strong>NONESSENTIAL JOB DUTIES</strong></p> <ul> <li>Related duties and special projects as assigned.</li> </ul>
