Overview: The Property Manager is responsible for activities involved in the successful day-to-day operation of the property with a strong emphasis on accounts receivable and resident retention.
Responsibilities: <ul> <li>Communicates with team members, management, residents, vendors, and all outside contacts in a courteous and professional manner.</li> <li>Recruit, hire, train, evaluate and appropriately discipline all property team members.</li> <li>Schedule, coordinate, and supervise all team members and department activities. Approves and submits online payroll including overtime and vacation schedules.</li> <li>Maintain controls over Accounts Receivables in accordance with SGs guidelines and procedures. Maintain SG's targeted delinquency goal of less than 2% of annual GPI. Apply payments to resident ledgers; make daily bank deposits; follow-up with telephone calls and/or collection notices (letters) to ensure prompt payment by residents; creates and delivers NSF notification letters; adjusts/corrects resident ledgers; inputs concessions; updates lease information/changes; etc.</li> <li>Maintain current and complete property management software information. Input daily activities such as move-ins and move-outs notices to vacate, resident transfers, lease renewals, lease changes, household and occupancy demographics search tag information, application approval/rejections, cancellations, etc.</li> <li>Administer the lease renewal program. Complete/update the "Renewal Worksheet," write and deliver renewal cards 120 days prior to the lease expirations, generate and deliver "renewal letters" 120 days prior to the lease expirations, and update information in the property management system.</li> <li>Generate and deliver general correspondence to residents and prospective residents such as lease violations, certificates of insurance updates, application rejection letters, etc.</li> <li>Inspect condition of move-outs in a timely manner to document charges prior to reconciling security deposits.</li> <li>Generate security deposit refunds or reimbursements. Calculate the interest on the security deposit, assess charges; input information in the property management program; print and mail all applicable notices and information.</li> <li>Generate and balance month-end reports that are produced by the property management program.</li> <li>Maintain a collection policy for residents who moved out with a balance on their accounts. Submit a daily report to the regional manager with the status of collection accounts. Turn files over to third-party collection agencies monthly.</li> <li>Lead the development of the monthly marketing plan and participates in outside marketing to local employers.</li> <li>Lead efforts in evictions and follows state eviction laws.</li> <li>Assist in monitoring property condition; report concerns/liabilities to regional manager/maintenance supervisor.</li> <li>Adheres to established policies related to fair housing.</li> <li>Maintain confidentiality of team members, management, owners, past and current residents, vendors, and all outside contacts.</li> <li>Perform sales activities in the absence or unavailability of the sales consultant; maintains a closing ratio of 30% or better on all traffic shown. See sales consultant job description for specific information.</li> <li>Plan, organize, promote, and implement residents' functions in conjunction with the management staff, if applicable.</li> <li>Perform general office duties; answer the telephone; write up service requests, files, monitors, and order office supplies and printed materials, etc.</li> <li>Prepare invoices for approval. Must verify services and products have been provided to the property, stamp and code invoices, send invoice batch each Monday to the accounting department.</li> <li>Perform all reasonable duties as assigned by the regional manager or corporate staff.</li> <li>Responsible for the performance of the sales team's closing ratios, phone conversions, and shopping reports. Report a sales consultant's lack of performance and ability to the regional manager.</li> </ul>
Requirements: <ul><li>High school diploma, with previous experience as a Sales Consultant or Assistant Manager or Bachelor's Degree.</li> <li>Good supervisory and problem-solving skills.</li> <li>Must have the availability to work a flexible schedule any day of the week.</li> <li>Ability to handle multiple tasks in an organized and efficient manner.</li> <li>Must have an excellent understanding of accounting practices and procedures.</li> <li>Previous work experience with property management software and an understanding of Microsoft Word and Excel programs.</li> <li>Must have reliable transportation.</li> <li>Must be detailed oriented and can communicate effectively.</li> <li>Previous experience in the hospitality and/or the apartment industry is preferred.</li> <li>Developed salesmanship skills.</li> </ul>
