Overview: <strong>Leasing Consultant/Assistant Manager&nbsp;</strong>will assist&nbsp;the Property Manager in directing the on-site operations. Acts on behalf of the Property Manager in his/her absence. Supervise and coordinate the daily workflow for maintenance and janitorial team members. Duties are performed with occasional direct supervision and are reviewed for accuracy and completeness. The work requires knowledge of SMG property policies, procedures, supervisory techniques, personnel policies and procedures.
Responsibilities: <ul> <li>Coordinates activities by scheduling work assignments, setting priorities and directing the work of subordinate team members.</li> <li>Evaluates and verifies team member performance through the review of completed work assignments and work techniques.</li> <li>Maintains records, prepares reports and composes correspondence relative to the work.</li> <li>Reviews and interprets goals and objectives of the work area in order to resolve problems, make recommendations for changes in instructions and/or guidelines and assure the adequacy of work products.</li> <li>Serves as liaison to building occupants and Regional Manager.</li> <li>Identifies current and potential customer service issues.</li> <li>Manages the properties within budget; maintains 100% occupancy; follows SMG Processes and Procedures, U.S. Department of Housing and Urban Development (HUD), city and state regulations, where applicable. Must have or acquire a working knowledge of all pertinent regulations for applicability to the properties within six months<br />of date of hire.</li> <li>Negotiates and prepares leases, contracts and other property agreements.</li> <li>Plans, schedules and coordinates general maintenance repairs</li> <li>Routinely inspect properties to ensure they are safe and to determine if repairs or maintenance are needed.</li> <li>Maintains records of property agreements.</li> <li>Purchases building and maintenance supplies, equipment or furniture.</li> <li>May oversee the preparation of financial statements and periodic reports on the status of various properties, lease expirations and related matters.</li> <li>May develop and administer an annual operating budget.</li> <li>May assign and/or supervise the work of others.</li> </ul> <p><br /><strong>Other Duties and Responsibilities</strong></p> <ul> <li>Responsible for overall appearance of the property. Must maintain good working&nbsp;relationship with the Maintenance Staff to assure that this responsibility is met.</li> <li>Provides to applicants and tenants, clear and concise information regarding rules and lease requirements.</li> <li>Executes leases and reviews leases with tenants.<br />Performs ongoing eligibility of current tenants, such as criminal background checks prior to lease renewal.</li> <li>Determines eligibility and selects prospective tenants in accordance with appropriate rules and regulations.</li> <li>Maintains client files in accordance with appropriate procedures and regulations.</li> <li>Handles all facets of rent collection and enforcement.</li> <li>Performs evictions and follows up on tenant account receivables, including small claims court and/or collection of bad debts per SMG procedures and Michigan Statutes.</li> <li>Conducts pre- and post-occupancy inspections and generates appropriate work orders as a result of the inspection.</li> <li>Maintains confidentiality of all applicants and tenants.</li> <li>Handles and documents resident complaints and resolves conflicts.</li> <li>Performs job duties in a polite but firm way. Maintains patience in working with people and responds to complaints in a tactful manner.</li> <li>Must be respectful toward current and prospective tenants.</li> <li>Uses a time management system and other organizational tools set up by SMG.</li> <li>Establishes and maintains effective working relationships with team members and other community agencies.</li> <li>Responsible for maintaining the office in a neat and clean manner.</li> <li>No information relating to applicants and tenants, including files and computer screens, should be visible to office visitors or left on the desk after work hours.</li> <li>Shows and leases apartments or homes to prospective tenants:</li> <li>Interviews prospective tenants and records information to ascertain needs and qualifications.</li> <li>Completes lease form or agreement and collects rental deposit.</li> <li>May compose newspaper advertisements.</li> <li>Will contact the credit bureau to obtain credit reports on the prospective tenants.</li> <li>Will conduct criminal background checks on a prospective tenants.</li> <li>Performs related work as assigned.</li> </ul>
Requirements: <ul> <li>Must have two (2) years of experience in multi-family property management and/or housing operations.</li> <li>Must be certified housing, apartment or accredited residential manager or be able to obtain certification within one (1) year of employment.</li> <li>Must have the ability to handle certain situations with tact and maintain a professional attitude when working with residents, community groups and co-workers.</li> <li>Demonstrate strong oral and written communications skills.</li> <li>Ability to drive and access to a vehicle. Valid driver's license, state registration and insurance required.</li> <li>Real Estate Salespersons license required.</li> </ul> <br /> <p><strong>Knowledge, Experience, Skills and Education</strong></p> <ul> <li>Knowledge of federal, state, and departmental laws, rules, practices, methods and procedures related to the work.</li> <li>Knowledge of the principles, practices and techniques of property management.</li> <li>Knowledge of processes in completing negotiations for leases.</li> <li>Knowledge of training and supervisory techniques.</li> <li>Knowledge of employment policies and practices.</li> <li>Knowledge of equal employment opportunity policies and procedures.</li> <li>Ability to instruct, direct and evaluate team members.</li> <li>Ability to plan, to organize and handle assignments to maintain an even flow of work.</li> <li>Ability to interpret, to explain and apply complex laws, rules and regulations.</li> <li>Ability to understand and carry out the terms and conditions of contractual agreements.</li> <li>Ability to conduct training and information sessions.</li> <li>Ability to communicate effectively with others, both verbally and in writing.</li> <li>Ability to maintain favorable public relations.</li> </ul> <p><br /><strong>Requirements</strong></p> <ul> <li>Requires a high school diploma or equivalent and two years of college with emphasis on public or business administration or subject areas appropriate to the assigned duties or two years minimum experience in property management and/or progressively responsible management position. Work experience should be appropriate for this position.</li> <li>Requires strong skills in organization, concentration, time management, initiative and attention to detail. Must be able to deal with frequent interruptions.</li> <li>Requires excellent communication and organizational skills and the ability to exercise<br />independent judgment and to work with limited supervision.</li> <li>Criminal background checks and drug screening are required and a pre-placement physical may be required.</li> <li>Graduation from an accredited four-year college or university with major course work in business administration or a related field is generally preferred.</li> <li>Experience in property management work essential.
