Overview: The Coordinator, Sales Administration position is an integral member of SHRM’s sales team initiatives. This position provides administrative support to external and internal customer department needs and provides exceptional customer care, logistical and operational support within one or more areas in the Sales organization, including but not limited to Exchange Visitor Program, Learning & Development, Sales, and Exhibits & Sponsorships.<br />
Responsibilities: General Duties <ul> <li>Gather and maintain all pertinent information for new and incoming sales contracts</li> <li>Perform a full range of administrative services, including scheduling meetings, drafting agendas, and preparing minutes for sales team meeting as requested</li> <li>Assist with developing sales presentations, word documents, sales reports and other projects as requested</li> <li>Serve as a budget liaison and assist with developing and maintaining annual budgets by serving as team point of contact</li> <li>Develop and maintain an organized and accessible file system for administrative and sales professionals</li> <li>Follow up with clients on the telephone for administrative purposes</li> <li>Other duties as assigned</li> </ul> Department Specific Duties <ul> <li>Exchange Visitor Program</li> <ul> <li>Process J-1 Visa applications, invoicing, revenue collection and reporting</li> <li>Process amendment, extension and separate family applications submitted for sponsored programs</li> </ul> <li>Learning &amp; Development Program</li> <ul> <li>Manage multiple spreadsheets</li> <li>Ensure proper access, deadlines and communications are sent to participants and appropriate parties are informed of completed requests</li> </ul> <li>Sales Logistics</li> <ul> <li>Coordinates activities in various departments to ensure sales programs reach targeted customers in a timely and effective manner.</li> <li>Coordinate logistic calls between client and instructor with salesperson</li> </ul> <li>Exhibits and Sponsorship</li> <ul> <li>Manage all aspects of exhibitor confirmation and invoicing process</li> <li>Work closely with departments in developing and executing optimal customer experience, including a full understanding of the theme, show-look, and delivering first-class customer experience</li> </ul> </ul>
Requirements: <ul> <li>High school diploma or equivalent relevant experience</li> <li>At least two (2) years of experience in administrative, coordination and office work, and supporting projects.</li> <li>Experience supporting sales teams, customer service, or meetings/conferences is a plus.</li> <li>Superior verbal and written communication skills.</li> <li>Proficient in Microsoft Office Suite (Excel, Power Point, etc.) and related software</li> <li>Ability to compile, analyze, and communicate data.</li> <li>Organized and detail oriented.</li> <li>Excellent interpersonal skills.</li> <li>Demonstrated customer care/customer experience skills and focus</li> <li>Ability to prioritize, multi-task and meet critical deadlines</li> <li>Enthusiastic, able to follow directions and work independently with limited supervision</li> Candidates must have a proven commitment to SHRM's six Guiding Principles:Bold PurposeExcellence &amp; Accountability Flexibility &amp; Agility Smart &amp; Curious Collaborative OpennessPush Back to Move Forward</ul> Physical Requirements <ul> <li>Must be able to perform essential duties satisfactorily with reasonable accommodations.</li> <li>Work is generally done sitting, talking, hearing, and typing.
