CEO Action for Inclusion &amp; Diversity is the largest business-led coalition dedicated to fostering inclusive workplaces that drive innovation and business success. The ideal candidate is a proactive and strategic thinker, adept at managing complex projects, streamlining operations, managing CRM databases, and navigating cross-functional collaboration within a dynamic and evolving environment. This role is also responsible for participant communications, onboarding, and engagement.<br /><br /></p> <h4><strong>Work Environment:</strong></h4> <p><strong>Hybrid Position (3 Days In-Office, 2 Days Remote):</strong></p> <ul> <li>This position follows a hybrid work schedule, requiring in-office presence [three days per week] and remote work [two days per week]. Core work hours will be designated by the department. The office environment includes a standard workstation setup with collaborative spaces, while remote work requires a reliable high-speed internet connection and a suitable home workspace. Employees must maintain availability during standard business hours and adhere to company policies for both in-office and remote work.</li> </ul> <p><strong>Travel:</strong>&nbsp;20 &ndash; 30%</p>
Responsibilities: <p><strong>Strategic Project Management:</strong></p> <ul> <li>Develop project plans, timelines, budgets, and deliverables, and track progress to ensure timely and successful project execution.</li> <li>Create and distribute meeting agendas and notes, including tracking decisions, action items, questions, and blockers.</li> <li>Collaborate with internal stakeholders to define project scope, goals, and success metrics.</li> <li>Anticipate potential project risks and work with the team to identify mitigation tactics to keep projects on track.</li> </ul> <br /> <p><strong>Database Management:</strong></p> <ul> <li>Maintain comprehensive, organized records of all prospects and members communications and actions.</li> <li>Manage and maintain the database for tracking prospects and members, ensuring data accuracy and completeness.</li> <li>Generate regular management reports and insights to inform decision-making.</li> <li>Identify and implement improvements to database processes and reporting.</li> </ul> <br /> <p><strong>Communications &amp; Engagement:</strong></p> <ul> <li>Own communications and inquiries for prospects and members, coordinating with the appropriate team members as needed and ensuring timely, comprehensive, and professional responses.</li> <li>Partner with internal teams and external partners to ensure alignment and consistency in messaging.</li> <li>Develop and maintain onboarding materials and resources.</li> <li>Drive the onboarding process for new members, ensuring a seamless and efficient experience.</li> <li>Provide support and guidance to new members throughout the onboarding journey.</li> </ul> <br /> <p><strong>Operations:</strong></p> <ul> <li>Maintain the website, ensuring content is current, accurate, and aligned with branding guidelines, working with technology to address any issues.</li> <li>Establish and refine operational processes to enhance the efficiency and effectiveness of the team.</li> <li>Identify opportunities for process improvements and implement solutions that drive productivity and innovation.</li> <li>Develop and maintain operational dashboards, reports, and analytics to inform decision-making.</li> <li>Support the planning, execution, and evaluation of events and experiences that support the team&rsquo;s strategic initiatives and objectives.</li> </ul>
Requirements: <p><strong>Education:</strong></p> <ul> <li>Bachelor&rsquo;s degree in communications, operations, business administration or a related field; or relevant experience and training in lieu of a degree.</li> </ul> <br /> <p><strong>Experience:</strong></p> <ul> <li>At least five (5) years of experience in a similar role, preferably in project management, operations, communications, membership engagement or a related field.</li> <li>Experience successfully managing large-scale projects and driving operational efficiencies.</li> <li>Experience with customer relationship management (CRM) systems. Salesforce experience is preferred.</li> <li>Experience in project management and planning tools and software (e.g., Monday.com, Microsoft Project).</li> <li>Experience in managing external vendors and partners preferred.</li> </ul> <br /> <h4><strong>Knowledge, Skills &amp; Abilities:</strong></h4> <ul> <li>Strong organizational and project management skills with the ability to handle multiple tasks simultaneously.</li> <li>Ability to work independently and as part of a team in a fast-paced environment.</li> <li>Strong attention to detail and problem-solving abilities.</li> <li>Strong analytical skills with the ability to leverage data to inform decision-making and improve processes.</li> <li>Ability to think strategically and execute tactically, balancing big-picture thinking with hands-on execution.</li> <li>Excellent communication and interpersonal skills, with the ability to build relationships and influence stakeholders at all levels, with an emphasis on C-Suite stakeholders.</li> <li>Proficiency in Microsoft Office Suite and reporting tools.</li> <li>Proficiency in customer relationship management (CRM systems).</li> <li>Proficiency in website content management and content management systems (CMS) preferred.</li> <li>Familiarity with analytics tools such as Tableau and Google Analytics preferred.</li> </ul> <p>&nbsp;</p> <h4><strong>Physical Requirements:</strong></h4> <p>This position operates in a typical office environment and requires the ability to perform essential job functions with or without reasonable accommodation.
