The answers are waiting &ndash; and we need your help finding them. &nbsp;</p> </div> <p><strong>About the Role:</strong></p> <p>The Executive Office Manager will be responsible for ensuring smooth and seamless office operations, while coordinating between the NC office and the R&amp;D laboratory there.&nbsp; Will work closely with Lab Operations Manager and administrative support staff to provide an extremely high-quality office which meets the needs of SpringWorkers. Provide exemplary administrative support to the R&amp;D lab executives to ensure their time is properly managed and priorities met.</p>
Responsibilities: <br /> <ul> <li>Must understand the needs of all employees and effectively communicate & collaborate with colleagues.</li> <li>Provide high level administrative support to Lab Executive Leadership (calendaring / proactively addressing conflicts, drafting correspondence, monitoring email, travel planning including complex international itineraries, project support, etc).</li> <li>Monitor & manage inventory of key items in lab & office. Order & restock office supplies, ordering pantry items & restocking, etc. Coordinate w/ Lab Operations manager to ensure lab is properly supported. Required to travel between NC office and Lab to deliver supplies, assist Lab Operations manager as needed.</li> <li>Primary point of contact responsible for managing all facilities and office service requests from initiation to completion (exterminator, building contractor, plant person, housekeepers, HVAC technicians, property manager, internet provider, security badging system/ alarm notifications.)</li> <li>Liaise w/ IT to maintain equipment inventory, assign mobile phone numbers to new hires, set up office equipment.</li> <li>Support company-wide mailings; act as primary POC for ordering / shipping SWAG. Must understand the ordering process (connecting w/ vendor, sourcing materials & items, liaising w/ Corporate Comms to ensure branding compliance, adhere to budget.)</li> <li>Align with administrative support staff to assist w/ planning & executing internal & external meetings, including, but not limited to All Company meetings, FDA & industry meetings. Coordinate w/ administrative staff to arrange and set up catering for meetings and provide excellent support for the overall office operation.</li> <li>Meet & greet guests as needed. </li> <li> Order business cards for all employees. </li> <li> Track & monitor spend related to office supplies, pantry supplies, varied facilities projects. </li> <li> Create & submit PO requests through COUPA system. Track invoices against PO’s to accurately monitor budget adherence. </li> <li> Responsible for updating companywide ORG charts. Coordinate w/ HR and distribute updates to the administrative support team. </li> <li> Update Operations Manual as needed. </li> <li> Assist administrative / operations staff w/ ad-hoc tasks and projects on an as-needed basis. </li> <li>Perform other duties and responsibilities as assigned.</li> </ul> <br />
Requirements: <p><strong>About You: Required Education, Skills, and Experience</strong></p> <ul> <li>Education: Bachelor&rsquo;s Degree or equivalent experience.</li> <li>5+ years in an office manager role or administrative professional who supported C-suite executives in a fast-paced, demanding environment.&nbsp;</li> <li>Knowledge of business communication and ability to independently compose routine correspondence and reports.&nbsp;</li> <li><span data-contrast="none">Demonstrated proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint), SharePoint, Adobe Acrobat Professional, Concur, Veeva, COUPA and other PC-based applications).</span></li> <li><span data-contrast="none">Strong comfort level with videoconference platforms (Teams, ZOOM, etc)&nbsp;&nbsp;</span></li> <li><span data-contrast="none">Exceptional organizational and follow-thru skills with the ability to work on many projects simultaneously including ability to prioritize, meet deadlines, make decisions and change course of action quickly, even when taking direction from multiple stakeholders.</span></li> <li><span data-contrast="none">Experience with managing complex calendars, travel arrangements and professional meetings/events.</span></li> <li><span data-contrast="none">Background in ordering branded company &ldquo;SWAG&rdquo; and executing large scale mailings.&nbsp;</span></li> <li><span data-contrast="none">Strong verbal and written communication skills.&nbsp;</span></li> <li>Prioritize conflicting needs; manage expectations; handle matters expeditiously, proactively, and follow-through on projects to successful completion.&nbsp;</li> <li><span data-contrast="none">Demonstrated ability to work well under pressure and with frequent interruptions; must have effective time management skills and the ability to multitask.&nbsp;</span></li> <li><span data-contrast="none">Excellent organizational skills and the ability to anticipate needs, exercise good judgment, takes initiative, work independently, and meet strict deadlines.&nbsp;</span></li> <li><span data-contrast="none">Ability to prioritize, stay organized and multi-task successfully in a fast-paced environment.&nbsp;</span></li> <li><span data-contrast="none">A &ldquo;can-do&rdquo; attitude, nothing is too large or too small.&nbsp;</span></li> <li><span data-contrast="none">Tenacity, common sense, and resourcefulness &ndash; while maintaining an approachable and pleasant demeanor.&nbsp;</span></li> <li><span data-contrast="none">Passion for the details and ability to change course as needed.&nbsp;</span></li> <li><span data-contrast="none">Capable of anticipating needs and staying ahead of any hurdles/issues that arise.&nbsp;</span></li> <li><span data-contrast="none">Adept at creating and organizing events &ndash; virtual and in-person.</span></li> <li><span data-contrast="none">Self-starter, with ability to work with limited supervision, exercise good judgement, anticipate issues and proactively problem solve.</span></li> <li>This role is in person based in the NC lab, with an expectation to commute between the lab and NC office to ensure both locations are properly stocked and functioning to meet the needs of the team.</li> <li>This position will be required to be in office 5 days a week.</li> </ul> <p>The expected salary range for this position is $51,500.00 - $68,500.00. Actual pay will be determined based on experience, qualifications, and other job-related factors permitted by law.
