Responsibilities: <ul> <li>Provides advanced and diversified administrative support to the Executive Vice President (EVP) including the preparation of board materials, budget preparation, gathering information for reports, and composing correspondence from notes and general verbal instructions.</li> <li>Arranges quarterly department meetings (700+ employees), Strategy sessions with top leaders reporting to EVP on a 6-week rotation, and quarterly Extended Leaders meetings that would include the creation of presentation material, meeting set-up, etc.</li> <li>Assists in providing/gathering information for internal/external corporate departments, outside vendors, professional contacts, and board members as requested by management.</li> <li>Gathers data, analyzes, and prepares reports with conclusive recommendations.</li> <li>Communicates the EVP&rsquo;s requirements to other company employees and provides special handling of all confidential information.</li> <li>Maintains the executive calendar and arranges travel reservations and accommodations. Handles meeting arrangements and prepares agendas, reports, and other materials for meetings.</li> <li>Screens telephone and personal calls to determine which executive subordinate office can handle a particular item. Monitors EVP&rsquo;s outlook inbox to follow-up on project deadlines.</li> <li>Reviews correspondence, memoranda, and reports presented for the executive's signature to ensure typographical and procedural accuracy.</li> <li>Identifies and abstracts pertinent information from publications, correspondence, and reports. Compiles data and prepares various reports, charts, and graphs. Prepares a variety of complex and confidential documents utilizing various software packages and maintains departmental records and handles special projects as assigned.</li> </ul>
Requirements: <ul> <li>50 wpm accurate typing skill</li> <li>Extensive P.C. software application experience (e.g. Microsoft Word, Excel, Powerpoint, VISIO, WordPerfect, Lotus 1-2-3, etc.)</li> <li>Broad and comprehensive knowledge of corporate practices and procedures</li> <li>Organization and planning</li> <li>Scheduling appointments, meetings, agendas, itineraries, and work priorities</li> <li>Researching and abstracting information</li> <li>Compiling, reviewing, and interpreting requests for information and data</li> <li>Researching, identifying, and resolving administrative business problems</li> <li>Compiling and editing submitted information</li> <li>Performing basic mathematical calculations including addition, subtraction, multiplication, division, and percentages</li> </ul> <strong>Experience in/with:</strong><br /> <ul> <li>Creating presentations, emails, tables, and reports</li> <li>Communicate effectively with others in a work environment</li> <li>Maintaining records and budget</li> <li>Composing correspondence and reports</li> <li>Work under pressure to meet deadlines</li> <li>Summarizing statistical information</li> </ul> <strong>Ability to:</strong><br /> <ul> <li>Gain knowledge and hands-on skill with Visio software in order to provide department organization charts</li> <li>Quickly understand key company contacts to accomplish assigned tasks</li> <li>Work in a fast-paced environment while multi-tasking on various tasks</li> <li>Problem solve and provide recommendations on a daily basis</li> <li>Communicate with EVP&rsquo;s direct reports, ACG officers, and administrative assistants on various matters</li> <li>Excellent oral and written communication skills</li> </ul> <br /><strong>Preferred Qualifications:</strong><br /> <ul> <li>Executive Assistant experience of 5+ years</li> <li>College-level coursework in Administrative/Assistant related classes (i.e. software applications, etc.)</li> <li>Knowledge of video conferencing (Microsoft Teams and Zoom) set-up and use</li> </ul> <br />Important Note: The above statements describe the principal and essential functions, but not all functions that may be inherent in the job.
