The Bookkeeper is responsible for maintaining a complete set of records of the financial transactions of the Township. Employee will assist in the coordination of the annual audit and may assist in budget preparations. This individual may also be called upon to assist other departments in performing tasks requiring the same level of skill and ability. Tasks this individual will perform on an infrequent basis include those of voter registration, elections administration, cemetery records management and permanent records management.&nbsp;</p> <p>&nbsp;</p>
Responsibilities: <p class="p1">The Bookkeeper may be called upon to perform any or all of the following essential job functions, duties and responsibilities.<span class="Apple-converted-space">&nbsp; </span>The following describe the general nature and level of work to be performed by the Bookkeeper and is not to be construed as an exhaustive list of all job duties performed in this position.</p> <ul class="ul1"> <li class="li3">Maintaining accounts and records or performing such bookkeeping activities as recording disbursements, expenses and tax payments.</li> <li class="li3">Verifies and enters details of transactions as they occur or in chronological order in account and cash journals for items such as sales slips, invoices, check stubs, inventory records and requisitions. Handle purchase orders and requisitions to the completion of processing for payment.</li> <li class="li3">Greet visitors and direct visitors to appropriate person or department.</li> <li class="li3">Performs routine financial transactions of all funds including but not limited to, general, water and sewer, CDBG, French Landing Dam, Capital Improvement, current tax, drug forfeiture, DDA, and landfill.</li> <li class="li3">Assists in the preparation of financial records and reports including monthly and annual expense distribution reports, monthly and annual income statements, accounts payables and receivables, aging reports, quarterly wage statement reports, Social Security and monthly pension reports.</li> <li class="li3">Reconcile and balance accounts, deposits, and receipts with financial institutions or appropriate officers.</li> <li class="li3">Reconcile payroll check listing, update payroll system and monitor individual COBRA payments. Calculates employee wages from timecards and prepares checks for payment of wages.</li> <li class="li3">Post daily cash receipt reports and reconcile daily cash receipts.</li> <li class="li3">Post annual budget and budget amendments.</li> <li class="li3">Completes books through trial balance. Makes adjusting journal entries as necessary.</li> <li class="li3">May assist with preparation of fringe benefit cost analysis and apply program benefits to cost per employee.</li> <li class="li3">Computes, types and mails monthly statements to customers.</li> <li class="li3">Complete all appropriate reports for year-end audit and provide accurate data for independent accountants.</li> <li class="li3">Performs basic arithmetic/calculator/computer functions to enable the compilation of financial data as needed by department.</li> <li class="li3">Assist in filing and the development of filing systems to track correspondence generated relative to the financial operations of the Township.</li> <li class="li3">May perform miscellaneous duties such as composing and typing letters, issuing various permits, preparing agendas and licenses and other tasks from time to time as requested by the Township Clerk and his/her designee.</li> <li class="li3">Assist in answering department telephones and disbursing incoming correspondence.</li> <li class="li3">May perform tasks relative to the operation of the Townships cemeteries including maintaining accurate records of individuals buried and grave sites sold, scheduling burials, selling grave sites and preparing documents pertinent to burials/deaths.</li> <li class="li3">Assist during elections and may serve as secretary to the various commissions/committees of the Township.</li> </ul>
Requirements: <p class="p1">The requirements listed below are representative of the knowledge, skills, abilities and minimum qualifications necessary to perform the essential functions, duties and responsibilities of the position.</p> <ul class="ul1"> <li class="li2">Bachelor&rsquo;s degree with a major in accounting preferred.</li> <li class="li2">Previous experience in governmental accounting/bookkeeping, preferred. Must have prior experience in general ledger, accounts payable, payroll, and other tasks relative to a bookkeeping environment and as previously outlined above.</li> <li class="li2">Ability to navigate a computer and different software is required. All financial transactions and records currently maintained in BS&amp;A software, excel and other financial records.</li> <li class="li2">Must be efficient in the use of calculators, typewriters and other office equipment. Accurate typing and legible handwriting is essential.</li> <li class="li2">Ability to multitask and meet multiple deadlines.
