Overview: <p>Primary Duty:&nbsp;Responsible for ensuring all callers and visitors are routed to the appropriate area, managing the main office area (copier, fax, postage, shredder, and other equipment) as well as ensuring the workroom is appropriately maintained.&nbsp; The Receptionist may also have administrative responsibilities and assist in all areas of the program as necessary.</p>
Responsibilities: <ul> <li>Main Office/Front Desk <ul> <li>Answer incoming telephone calls and redirect to appropriate individual.</li> <li>Greet guests and notify appropriate individual.</li> <li>Sign for incoming packages and distribute to appropriate individual.</li> <li>Maintain system for tracking which employees are in the office.</li> <li>Maintain and distribute office telephone directory.</li> <li>Maintain and distribute receptionist lunch/break schedule.</li> <li>May unlock/lock main suite door at times set as directed by program.</li> <li>Key operator for copier, fax, and postage meter; contact repair people when needed.</li> <li>Ensure that postage for outgoing mail is correct.</li> <li>Sort and distribute all incoming mail and faxes.</li> <li>Post end-of-the-day mail and convey to appropriate mail drop off site.</li> </ul> </li> </ul> <ul> <li>Administrative &ndash; as required by program <ul> <li>Assist with administrative duties as assigned by program.</li> <li>Prepare reports and listings as directed by program; may include special projects with administrative or other staff</li> <li>Maintain program participant and staff data in established systems as required by program.</li> <li>Order office supplies and other office needs as assigned by program</li> <li>Track and manage petty cash funds</li> </ul> </li> </ul> <ul> <li>Assure program participant privacy is maintained by being knowledgeable and following HIPAA privacy and security regulations. <ul> <li>Prepare and label new resident files for intake</li> <li>Ensure resident picture is uploaded to facesheet</li> <li>Manage main office file room and archives</li> </ul> </li> </ul> <ul> <li>Direct Care Support <ul> <li>Complete training requirements for resident supervision, de-escalation strategies and physical holds</li> <li>Provide support with de-escalation and/or physical holds of residents if/when needed in crisis situations</li> <li>Provide limited support and/or assistance to unit staff if/when needed in crisis situations</li> </ul> </li> </ul> <ul> <li>Attendance; follow attendance policy <ul> <li>Must be able to work regularly scheduled working hours: Monday &ndash; Friday 8:00am &ndash; 4:30pm</li> <li>Must be able to work possible overtime if/when needed</li> </ul> </li> </ul> <ul> <li>Maintain positive relationships with Co-workers, program participants, public, community partners, vendors, contractors</li> </ul>
Requirements: <ul> <li>Education/Experience: High school graduate or GED. Prior experience helpful but not required.</li> <li>Language/Communication Skills: Ability to communicate effectively, both orally and in writing.
