Full-Time

Overview: Responsible for the grants and contracts accounting, budgeting and reporting functions within the organization. This position will ensure staff have adequate training and resources to complete tasks, works closely with management, development and programs staff to prepare grant budgets, maintain awards, and to meet reporting requirements. Manages the reporting for grants and contracts by monitoring new and existing client contracts to make sure invoices and required financial reports are submitted timely and accurately.
Responsibilities: <p>Grants/Contracts Management</p> <ul> <li>Determine billing amounts for grants and contracts. Manage the contracts to maximize eligible revenues.&nbsp; Work with program staff to ensure that contracts are understood, revenue recognition is proper, and VOA is paid correctly and according to contract terms.</li> <li>Create and deliver complete and accurate invoices based on contracted and delivered services. Record&nbsp;invoices in GP and submit invoices to the various funders</li> <li>Prepare monthly general ledger entries, including the revenue accrual revenue for contract billing&nbsp;</li> <li>Analyze and communicate with relevant staff regarding outstanding accounts receivable and assist with collection of outstanding invoices.&nbsp;</li> <li>Manage external audits and desk reviews performed by funders as required</li> <li>Serve as liaison between funding agencies and internal staff&nbsp;</li> <li>Provide pre and post award grant support, and support grant and finance activities to ensure compliance with contracts, funder regulations and requirements and VOA policies&nbsp;</li> <li>Ensure an adequate tracking and filing system for grants &amp; performance of contracts, checks, correspondences, invoices, grant reconciliations and reports pertaining assigned awards</li> <li>Analyze new awards to classify in accordance with GAAP/FASB requirements and establish and maintain contracts and awards database &ndash; Set up new and update changes to grant/program codes in the financial system, update user access and distribute current grants list to all staff as needed.</li> <li>Prepare procedure manuals for all grant and contract processes, provide training for staff as necessary.</li> <li>Review Account Receivable Aging on a monthly basis with grant accountants and take immediate actions as necessary to collect on or correct accounts</li> <li>Work closely with program directors and Development staff to assist them with grant budgets, budget modifications and contract amendments. Ensure appropriate communication and analysis is submitted to grantors and program directors regarding spending patterns, variances and/or award extensions needed</li> <li>Prepare Audit Schedules on Donor Restricted Awards, SEFA, Grants AR and Program/Grant P&amp;L reports.
