Overview: <p>The primary duty of a VOA High School Program Specialist will be to oversee and manage non-academic, operational functions of Volunteers of America High School while maintaining federal, county, and city compliance. Essential Duties and Responsibilities include:</p>
Responsibilities: <p><strong>Building Operations</strong></p> <ul> <li>Manage existing building contracts for repeating services by scheduling work, reviewing work and maintaining ongoing communication with vendors.</li> <li>Engage new vendors when required and secure and schedule additional services as needed. Maintain current building licenses and training compliance for all aspects of school operations.</li> <li>Coordinate regular maintenance and manage time and budget of maintenance contractor.</li> <li>Oversee the maintenance of school vehicles by scheduling regular and as-needed maintenance and keeping licenses current.</li> </ul> <p><strong>Food and Nutrition Services</strong></p> <p>Oversee the food and nutrition program at VOA High School which includes:</p> <ul> <li>Maintaining state and federal training requirements</li> <li>Accessing and managing confidential student/family income information</li> <li>Actively partnering with Minneapolis Public Schools to make sure all students have access to educational benefits</li> <li>Utilizing MN State accounting interface to ensure maximum federal reimbursement</li> <li>Overseeing 100% lunch form completion by required deadlines</li> <li>Ordering and adjusting meal counts</li> <li>Organizing and maintaining point of sale compliance, staffing and meal safe storage</li> <li>Maintaining city health department standards and certificate requirements.</li> </ul> <p><strong>Transportation services:</strong></p> <ul> <li>Order, accept, account for and report on all student transportation materials received from Metro Transit via Minneapolis Public Schools.</li> <li>Ensure distribution of bus cards and one ride passes are equitable and follow guidelines.</li> </ul> <p><strong>Financial:</strong></p> <ul> <li>Process all invoices, purchase orders, visa reports, stipends, checks and vendor approvals whether regular or incidental in a timeline supplied by VOAMN finance department.</li> <li>Review, reconcile, and evaluate monthly ledgers, budgets, and financial reporting system reports for accounts as determined by the program.</li> <li>Complete reimbursements and purchasing documents for VOA High School.</li> <li>Collaborate and communicate regularly with vendors, Volunteers of America finance personnel and Minneapolis Public Schools Contract Alternative office to achieve timely and accurate submission of documents.</li> </ul> <p><strong>Ordering:</strong></p> <ul> <li>Order and distribute office supplies, printing paper, teacher requested materials and manage budget associated with materials.</li> </ul> <p><strong>Health Services:</strong></p> <ul> <li>Provide secondary support for VOA student health plans administered by MPS nurse (distribute nurse approved medications, disseminate essential student health care info to staff, manage daily illness concerns), manage student and staff positive Covid protocols and maintain PPE supply.</li> </ul> <p><strong>Other Duties as Assigned:</strong></p> <ul> <li>Supporting VOA High School goals established by the organization while maintaining a work environment which respects and supports cultural competence and proficiency.</li> <li>Establishing work priorities; assists in resolving problems related to the day-to-day operations of the program.</li> <li>Monitoring compliance with organization policies procedures, regulations and appropriate laws.</li> <li>Managing personal computer functions such as scheduled and specialized reports, correspondence and database management.</li> <li>Performing all job functions in a safe manner to minimize risk of injury to self and others.</li> <li>Assisting with routine program advisement providing information/direction to prospective program participants.</li> <li>Assuring program participant privacy is maintained by being knowledgeable and following HIPAA privacy and security regulations.</li> </ul> <p><strong>Professional Relationships to Maintain:</strong></p> <ul> <li>Supervisor, administrative staff, program supervisors, co-workers, program participants, vendors, contractors, and governmental agencies representatives.</li> </ul>
Requirements: <p><strong>Education/Experience:</strong></p> <ul> <li>High School Diploma; GED</li> <li>Preferred experience in fiscal services, administration, and human resources</li> <li>1 year of additional work experience that can be demonstrated to be applicable to the duties listed on the job description.</li> </ul> <p><strong>Language/Communication Skills:</strong></p> <ul> <li>Bilingual: Spanish or Somali preferred</li> <li>Ability to communicate effectively, both orally and in writing.</li> <li>Ability to work with a diverse population of individuals by using tact diplomacy and flexibility.</li> </ul> <p><strong>Mathematical Skills:</strong></p> <ul> <li>Basic math skills are required for this position.</li> </ul> <p><strong>Reasoning Skills:</strong></p> <ul> <li>Ability to deduce the necessary level of response to a variety of situations.</li> <li>Able to decide the proper person to notify in cases of emergency and to determine alternate courses of action when faced with more than a single alternative.</li> <li>Decision making</li> <li>Negotiating/Mediating</li> </ul> <p><strong>Other Skills/Requirements:</strong></p> <ul> <li>Organizational ability</li> <li>Self direction</li> <li>Excellent customer service skills</li> <li>Computer skills that include Microsoft Office programs.</li> <li>Multitasking</li> <li>Program terminology as required.</li> </ul>
