Overview: <p>The Operations Coordinator position will provide support to the Bakery Operations team in the areas of human resources and talent acquisition, finance and operations. The incumbent will take ownership of key people activities that impact employee culture in our bakeries, several programs and events that are essential to daily operations, and key financial systems at the bakery level. Responsibilities: <ul> <li>Manage the billing process to ensure all invoices are paid on time.</li> <li>Ensure the complete and rigorous processing of payroll, including the validations, adjustments and follow-ups required to guarantee accuracy and adherence to deadlines.</li> <li>Coordinate and support programs related to safety and the environment.</li> <li>Act as a resource person for employees by answering their questions relating to payroll, benefits, internal policies and working conditions.</li> <li>Perform administrative follow-ups with corporate teams (payroll, benefits, human resources) for any situation requiring coordination or specific resolution.</li> <li>Actively participate in the recruitment process: posting job openings, pre-screening candidates, coordinating and conducting interviews, making hiring recommendations, and preparing required documents.</li> <li>Manage the hiring and administrative integration processes for new employees, including updating statuses (full-time/part-time) in HR systems.</li> <li>Allocate positions in accordance with applicable collective agreements and seniority rules.</li> <li>Prepare and transmit monthly union lists and seniority lists, ensuring their accuracy and compliance.</li> <li>Ensure the administrative follow-up of absences and leaves (illness, CNESST, personal leave, LOA), including documentation, communications and coordination with internal and external stakeholders.</li> <li>Managing the billing cycle: entering invoices into the system, validation, and payment tracking.</li> <li>Follow up with suppliers in case of non-payment and maintain good business relationships.</li> <li>Ensure the management and monitoring of contractual services (e.g., uniforms with Cintas or other suppliers).</li> <li>Contribute to the planning and coordination of internal events (recognition events, team meetings, corporate activities).</li> <li>Ensure the supply of administrative supplies (stationery, coffee, etc.) in order to ensure the smooth daily operation of activities.</li> <li>Participate in special projects aimed at optimizing administrative and operational processes.</li> <li>Contribute to improving internal practices in communication, employee engagement and organizational effectiveness.</li> <li>Support regulatory and union compliance initiatives.</li> <li>Collaborating with cross-functional teams during the implementation of new corporate systems, procedures, or programs.</li> <li>Perform any other related tasks that contribute to the smooth running of operations and the team.</li> </ul>
Requirements: <ul> <li>Awareness Advanced MS Office (Outlook, Word, Excel, PowerPoint)</li> <li>Knowledge of SAP, Workday and Kronos is an asset</li> <li>Professional</li> <li>Ability to resolve problems with minimal supervision.</li> <li>Ensure the confidentiality of the processing of sensitive information.</li> <li>Being able to communicate effectively and empathetically with all employees, at all levels.</li> <li>Attention to detail, track record of accuracy.</li> <li>Has a keen sense of problem-solving</li> <li>Produces results in a lean, fast-paced organization, using a strong sense of organization and the ability to multitask and prioritize.</li> </ul>
