Overview: This position provides administrative support to the VP of Finance Operations and the teams within Finance Operations.&nbsp; The position is responsible for a wide variety of complex assignments of a critical and confidential nature.&nbsp; The ideal candidate will exhibit high standards, excellent communication skills, and have the ability to take initiative and prioritize daily tasks.&nbsp; A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.<br /><br /><strong>Our flexible/ hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days.</strong><br /><strong>Applicants must be currently authorized to work in the United States on a Full-Time basis.</strong>
Responsibilities: <p>Performs clerical duties related to department activities including but not limited to:</p> <ul> <li>Serves as gate keeper to executive&rsquo;s calendar ensuring he/she is well prepared and organized for upcoming meetings and/or events and ensuring any conflicts are managed appropriately</li> <li>Assists in managing executive&rsquo;s email to ensure critical and high priority emails are brought to executive&rsquo;s attention and addressed in a timely manner</li> <li>Performs a wide variety of complex, responsible, and confidential administrative duties for leadership</li> <li>Ordering and distributing supplies, composing of routine correspondence</li> <li>Organizing and maintaining file system and files correspondence and other records as well as creating and maintaining database and spreadsheet files</li> <li>Coordinating and arranging meetings and/or conference calls, preparation of agendas, reserving and preparing conference rooms, and recording and transcribing minutes of meetings, as requested</li> <li>Meeting and event planning (may include negotiation hotel contracts, scheduling catering, preparing for Web and video conferencing, etc.)</li> <li>Manages travel (includes online research, booking, tracking, preparing the traveler, etc.); may also include submission of expense reimbursements on behalf of traveler</li> <li>Researching, compiling, and analyzing data for special projects and various reports</li> <li>Managing functional budget, preparing invoices and reports to support Finance Operations</li> <li>Participating in trainings, career development, and webinars related to position and/or Finance Operations and supports the on-boarding of new associates</li> <li>Serves as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities, and operations</li> <li>Assists other administrative assistants and other departments with administrative support as needed</li> <li>May provide support for special projects and programs, as requested (project management)</li> <li>Additional job duties may be assigned as needed to meet the needs of the business and support our Values</li> </ul>
