Overview: Join our dynamic team and play a pivotal role in delivering high-level executive and staff support to key leaders and functional areas. Responsibilities: <ul> <li>Supports EVP and multiple large functional areas within Information Technology</li> <li>Acts as brand ambassador for the company and department</li> <li>Manage complex calendars for senior executives, including scheduling internal and external meetings, anticipating conflicts, and ensuring optimal time management across priorities.</li> <li>Demonstrates flexibility and commitment, with the ability to work onsite up to 5 days per week, adjust hours for early or late meetings as needed, remain accessible via text for occasional weekend emergencies, and travel a few times per year for executive offsites or key meetings.</li> <li>Coordinates off-site corporate/board/customer/client meetings and provides international executive support</li> <li>Ensures consistency and compliance with organizational standards and practices</li> <li>Manages general office tasks, supplies, functional budget, invoices, and reports</li> <li>Handles executive travel, meeting and conference rooms, and event planning</li> <li>Serves as liaison and communication link to leader and function</li> <li>Provides advice, expertise, and context to ensure compliance with standards</li> <li>Creates documents and spreadsheets using Microsoft Office programs</li> <li>Interacts professionally across the business and externally</li> <li>Supports special projects and programs as needed</li> <li>Participates in meetings, trainings, career development, and webinars</li> <li>Additional duties may be assigned to support business needs and values</li> </ul> <br />&nbsp;
Requirements: <ul> <li>HS diploma &amp; Post Secondary Education in business-related field; equivalent training/certifications/experience considered</li> <li>4+ years of administrative support for C-level executive and large team/function</li> <li>2+ years in advanced executive support, leading teams directly or indirectly</li> <li>2+ years guiding, training, or onboarding team members in relevant technologies, capabilities, or skills</li> <li>Strong critical thinking and problem-solving skills</li> <li>Highly organized and detail-oriented</li> <li>Tactful with discretionary initiative</li> <li>Highly flexible with strong multitasking and prioritization abilities</li> <li>Willingness to learn new software tools and applications</li> <li>Proven experience with Microsoft Collaboration tools (PowerPoint, Word, Excel, Outlook, Teams)</li> <li>Ability to document meetings and provide clear next steps, actions, and recaps</li> <li>Empathetic and collaborative, valuing teamwork</li> <li>Willing to be in the office up to 5 days per week, shift schedule for meetings, available via text on weekends for emergencies, and travel a few times a year for offsites</li> </ul> &nbsp;<br /><br />Preferred Qualifications:<br /> <ul> <li>Associate&rsquo;s or Bachelor&rsquo;s degree preferred</li> <li>Executive support experience providing administrative support for a large group/team/function in a large complex corporate environment</li> </ul>
