Overview: Support the Store Development Construction teams by auditing, processing and tracking construction contracts, purchase orders, change order requisitions and other related documents for projects under construction. This position assumes responsibility for the workflow and financial reporting of new store and remodel Construction projects, and incorporates assisting project managers and vendors, maintaining procedural manuals and other job aids, and facilitating partner communications via online shared drive folders.
Responsibilities: <ul> <li>Evaluate contract financial data for new construction, remodel, and special projects, and translate to Purchase Order (PO) entry in accounting system (Coupa).&nbsp; Includes confirming that proper documentation and approvals have been submitted.</li> <li>Review and process Change Orders (CO&rsquo;s), Buyout Adjustments and Credit Memos (CM&rsquo;s), and record in the Coupa PO system.</li> <li>Provide support to the ADUSA Construction teams in managing project budgets and records of activity in the SAP Project Systems management system, and partner with Investment Planning to ensure project data is accurately reflected.</li> <li>Generate SAP Period Budget Reports and other reporting, and coordinate updating of project forecasts.</li> <li>Audit vendor payment requisitions for contracts, buyouts and change orders for completeness and accuracy.&nbsp; Communicate with project managers, directors and contractor vendors to promote resolutions for any noted discrepancies.</li> <li>Provide information to Fixed Assets accounting team required for the period close process.</li> <li>Monitor document approval process and interact with vendors to assist with invoice submissions and research payment issues utilizing ADUSA vendor portal/VMDM.</li> <li>Initiate and monitor closing of completed projects, working with Constructions teams, Purchasing and vendors to ensure all PO&rsquo;s have been paid and balances cleared.&nbsp; Communicate project close requests to Coupa Administration and brand finance.</li> <li>Partner with Estimating to assure consistent coding is utilized across brands and projects, and assist with reporting needs.</li> </ul>
Requirements: <ul> <li>Associate Degree</li> <li>2-4 years experience</li> <li>Intermediate Microsoft Excel, Outlook and Word proficiency</li> <li>Strong analytical skills</li> <li>Clear and concise Oral and written communication skills</li> <li>Customer focused approach</li> <li>Developed attention to detail</li> <li>Advanced Microsoft Excel proficiency</li> <li>Ability to interpret contract documents</li> </ul>
